The hiring range for this position is $17.80 - $18.69 hourly based on qualifications and experience.
Job ResponsibilitiesMajor Duties
- Contacts prospective vendors to obtain pricing quotes, availability, lead times, schedule deliveries, invoicing, etc.
- Enters, edits, and receives on purchasing requisitions and purchase orders for the divisions as directed.
- Enters and updates data, develops spreadsheets, and files for record keeping/retrieval in a shared folder for the divisions as requested.
- Assists with payroll timekeeping for the divisions with the purchasing supervisor.
- Coordinates monthly purchase-card reconciliations for assigned divisions, submits for approval to appropriate management, and submits to accounts payable for keying.
- Answers and directs phone calls, manages calendars, coordinates meeting, handles correspondence, and greets internal and external customers.
- Orders office supplies, operates office equipment, and assists with projects.
- Assists with the coordination of division events and or committees.
- Communicates effectively with departments and divisions to ensure tasks are updated, progressing, and completed in a timely manner.
- Collaborates and represents the purchasing and facilities division in a professional and positive manner.
- Performs other related duties as assigned.

Education/Experience Requirements
- Knowledge and level of competency commonly associated with administrative duties, in addition to basic skills typically associated with a high school education.
- Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with the completion of an apprenticeship/internship or having had a similar position for one to two years.
Knowledge and Skill Requirements
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and office equipment such as printers, calculators, and scanners.
- Knowledge of City, departmental, and divisional policies, and procedures.
- Strong communication, organizational skills, attention to detail, and ability to proactively handle multiple tasks.
- The work is performed in an office while sitting, standing, stooping, walking, bending, or crouching.
- The employee occasionally lifts light objects.
