Maintenance Coordinator
The Maintenance Coordinator provides comprehensive administrative and clerical support to the Maintenance Department, ensuring that documentation, work orders, preventive maintenance activities, and change control processes are accurately managed and efficiently executed. This role serves as a central point for organizing maintenance records, maintaining systems and spreadsheets, and supporting the planning and coordination of maintenance activities across the facility.
Responsibilities- Provide administrative and clerical support to the Maintenance Department, ensuring all documentation is accurate, complete, and properly filed.
- Coordinate documentation activities for incident reports, preventive maintenance, change control, daily log sheets, budget records, and training records.
- Administer the Work Order System by logging all relevant information into the database, confirming work orders, scheduling work, and printing new work orders as needed.
- Maintain the Preventive Maintenance module by updating preventive maintenance tasks and standard operating procedures, administering monthly PMs, and circulating completed forms for approval.
- Manage the change control process for maintenance-related systems by drafting change control documents, assigning control numbers, circulating forms for pre- and post-approval, and finalizing all documentation.
- Maintain miscellaneous department records, including PM work orders, maintenance work orders, daily log sheets, and training records, and follow up on outstanding paperwork to ensure completion.
- Participate in the planning and organization of resources for maintenance activities, including compiling completed records for shutdown documentation and other planned maintenance events.
- Organize and maintain maintenance drawings and equipment history files to support accurate record-keeping and efficient access to technical information.
- Maintain utility spreadsheets for electric, gas, and water usage by entering data from billing reports and ensuring that utility information is up to date.
- Receive paper documents, scan them into SAP, and ensure that electronic records are accurate and complete.
- Support efforts to transition processes to a paperless system by consolidating documentation, improving workflows, and promoting electronic record-keeping.
- Collaborate with maintenance personnel and other departments to ensure timely completion of documentation and alignment with good documentation practices.
- Three to five years of experience in manufacturing or plant maintenance activities.
- High school diploma required, with additional coursework in computers preferred.
- Strong organizational skills with the ability to manage multiple documentation and administrative tasks simultaneously.
- Strong interpersonal and communication skills for effective collaboration with maintenance staff and other departments.
- Mid-level proficiency in SAP, including experience with plant maintenance modules and work order processing.
- Experience with SAP plant management and familiarity with system integration processes.
- Proficiency in Microsoft Excel and PowerPoint for maintaining spreadsheets and preparing documentation.
- Knowledge of good documentation practices and the ability to apply them consistently.
- Ability to coordinate and prepare maintenance-related documentation proactively rather than functioning solely as an end user of systems.
Skills & Qualifications
- Additional computer-related coursework or training is preferred and supports effective use of maintenance systems.
- Experience with inventory and inventory control processes within a maintenance or manufacturing environment.
- Background as a planner or coordinator in maintenance management is beneficial.
- Comfort working with electronic document management and scanning processes.
- Attention to detail and accuracy in handling maintenance records, utility data, and change control documentation.

WorkEnvironment
