National Account Service Coordinator
Location:
Wilsonville, OR
Pay: $55,000-$70,000
Schedule:
Monday-Friday 7am-4pm
This is a Temp-to-Hire position!
Position SummaryThe National Account Service Coordinator is responsible for coordinating work orders, quoting, vendor/subcontractor management, customer communication, and invoicing for National Account service requests. This role ensures all documentation and billing practices align with the company's National Account Service Policy, including itemized labor, material list requirements, and mandatory photo documentation for every site visit.
Core Responsibilities- Manage National Account service requests from intake through closeout.
- Create, track, and update work orders; coordinate scheduling and field communication to ensure jobs move forward efficiently.
- Request quotes and lead times from manufacturers; follow up to support timely approvals and material procurement.
- Prepare company quotes for additional work with clear, itemized labor and detailed scope descriptions.
- Coordinate with subcontractors and vendors (applications, COIs, W9s, and compliance documents as needed) to support National Account work.
- Communicate job status, quote needs, and documentation requirements with customers, technicians, vendors, and internal stakeholders.
- Submit invoices promptly and ensure invoices align with policy requirements (including initial visit labor invoicing when applicable).
- Maintain organized job files: quotes, invoices, manufacturer correspondence, material lists, and photo documentation.
- Experience coordinating service work orders, dispatch, or project administration (construction/trades service preferred).
- Strong quoting and documentation skills; ability to write clear scopes and itemize labor.
- Comfortable working with manufacturers, vendors, and subcontractors; strong follow-up habits.
- High attention to detail, especially around policy compliance and billing accuracy.
- Strong written and verbal communication; able to coordinate multiple stakeholders.
- Proficiency with spreadsheets and service management/CRM systems; ability to keep information organized and current.
