Job Rotation:
This position is a 12‑month rotation for current regular status employees of the Oregon Department of Corrections (ODOC), Oregon Corrections Enterprises (OCE), or the Oregon Board of Parole, Probation, and Post‑Prison Supervision (BOPPPS), pending manager approval.
In a highly visible role, you will serve as the primary administrative support to the Assistant Superintendent of Special Housing. Your work will facilitate informed decision‑making, coordinate critical operations, and maintain effective communication throughout the facility.
Responsibilities- Provide confidential administrative and executive support, including calendar management, meeting coordination, correspondence, reports, and special projects.
- Serve as a liaison between executive leadership, CRU staff, facility work units, and external agencies to ensure timely communication and collaboration.
- Prepare, review, and maintain confidential records, reports, meeting materials, and executive correspondence.
- Track assignments and priorities to meet deadlines.
- Conduct research and compile information to support leadership decision‑making.
- Coordinate meetings, trainings, and facility communications.
- Provide backup administrative support to the Superintendent, Assistant Superintendents, and other executive staff as needed.
- Exercise independent judgment, maintain strict confidentiality, prioritize competing assignments, and foster positive working relationships with multidisciplinary teams.
- Minimum of three (3) years of clerical/secretarial experience, including at least one (1) year at full performance level in typing, word processing, or document generation.
- Training or coursework in Office Occupations or Office Technology may substitute up to one year of experience.
- Experience with sensitive communications, records, and legal materials in compliance with policies.
- Proven ability to prioritize tasks, manage conflicting deadlines, and maintain accuracy under pressure.
- Strong drafting, proofreading, and editing skills for professional correspondence and public‑facing materials.
- Positive, professional, and cooperative working relationship skills with internal leadership, staff, external agencies, and the public.
- Proficiency with Microsoft Word, Excel, Outlook, and other administrative software for document preparation, tracking, and reporting.
- Ability to interpret and apply statutes, rules, regulations, policies, and procedures.
- Competitive salary ($4,558 – $5,995) with potential adjustment for PERS qualifying applicants.
