About the Job – Your RoleIn this highly visible role, you will serve as the primary administrative support to the Assistant Superintendent, ensuring the office operates efficiently while supporting programs that directly impact Adults in Custody (AICs), including correctional counseling and recreation services.
You will provide confidential administrative and executive support by coordinating daily office operations, managing calendars, meetings, correspondence, reports, and special projects, while ensuring office efficiency.
You will act as a liaison between executive leadership, CRU staff, facility work units, and external agencies to facilitate timely communication and collaboration.
Key responsibilities include preparing, reviewing, and maintaining confidential records, reports, meeting materials, and executive correspondence; tracking assignments and priorities to meet deadlines; conducting research; coordinating meetings, trainings, and facility communications; and providing backup administrative support to the Superintendent and other executive staff as needed.
The role requires exercising independent judgment, maintaining strict confidentiality, effectively prioritizing competing assignments with minimal supervision, and fostering positive working relationships with multidisciplinary teams while delivering exceptional customer service in a dynamic correctional environment.
Minimum QualificationsThree (3) years of clerical/secretarial experience, which includes:
- One (1) year at a full performance level performing typing, word processing, or generating documents;
- Lead work responsibility or coordination of office procedures.
Courses or training in Office Occupations or Office Technology may substitute up to one year of experience.
Requested Skills- Experience working with sensitive communications, records, and legal materials discreetly and in compliance with policies.
- Proven ability to prioritize tasks, manage conflicting deadlines, and maintain accuracy and efficiency under pressure.
- Strong skills in drafting, proofreading, and editing professional correspondence, reports, and public-facing materials.
- Ability to maintain positive, professional, and cooperative working relationships with internal leadership, staff, external agencies, and the public.
- Skill in using Microsoft Word, Excel, Outlook, and other administrative software for document preparation, tracking, and reporting.
- Interpret and apply statutes, rules, regulations, policies, and procedures.
CCCF is a tobacco‑free facility. The use of tobacco products is prohibited within the secure perimeters, buildings, and personal vehicles.
Work is performed within the secure confines or an adult minimum to maximum security correctional facility. Interactions with adults in custody occur daily, and the employee must support security staff during periods of AIC unrest.
The employee may be required to cancel and reassign to any work area of the facility in the event of an emergency or work stoppage.
The facility is located in western Oregon and is exposed to temperature extremes and inclement weather. Walking long distances to the work area or to perform duties is required.
The position requires operation of video and telephonic equipment, word processing equipment, and computers for e‑mail, accessing AIC information, and regular performance of many of the duties.
Requirements for EmploymentThe successful candidate must pass a Criminal Justice Information Systems (CJIS) fingerprint‑based background check and maintain CJIS eligibility. Due to CJIS requirements related to system access, certain felony convictions may disqualify an applicant.
Being a member of the American Federation of State, County, and Municipal Employees (AFSCME) and eligibility for Police & Fire (P&F) benefits through the Public Employees Retirement System (PERS) is noted.
