We are looking for a versatile Level 1 Finishing/ Receiving Representative who will work with our outside vendors
Job OverviewJoin our Supply Chain Operations Team as a Finishing/Receiving Representative, responsible for managing outside processing vendors - driving quality and on-time delivery for aerospace, medical, and telecom components. You will coordinate with vendors, manage shipping and receiving transactions, and ensure finished parts meet customer and regulatory requirements before release. Your organizational skills, attention to detail, and ERP knowledge will keep production flowing smoothly and maintain traceability across the finishing and outside processing cycle.
Responsibilities- Coordinate outside processing (OSP) shipments with approved vendors for plating, anodizing, heat treating, painting, and other finishing services, ensuring on-time pickup and delivery.
- Receive incoming raw materials, components, and processed parts; verify quantities, part numbers, and documentation (certs, packing slips, COCs) against purchase orders.
- Process receiving and shipping transactions accurately within SAP/ERP, including creating outside processing POs, receiving against POs, and updating job travelers.
- Prepare outbound shipments via UPS and other carriers, including generating shipping labels, packing lists, and other documentation as applicable.
- Inspect incoming finished/processed parts for visual defects, damage, or discrepancies before returning them to quality assurance.
- Maintain accurate inventory records and locations for parts at vendors, or in transit, ensuring full traceability throughout the finishing process.
- Communicate with vendors regarding lead times, delays, quality issues, or documentation discrepancies, and escalate concerns to purchasing or quality as needed through emails, phone calls.
- Support non-conformance reporting when received parts fail to meet specification or vendor certifications are incomplete.
- Maintain organized records of certifications, packing slips, and outside processing documentation to support audits and customer requirements.
- Collaborate with quality, and purchasing teams to prioritize finishing schedules and prevent line-down situations.
- 1-2 years of experience in a receiving, shipping, or finishing coordination role, ideally within a manufacturing or regulated industry (aerospace, medical, or similar).
- Working knowledge of SAP or a comparable ERP system for receiving, PO management, and inventory transactions.
- Experience preparing shipments and generating documentation through UPS or other common carriers.
- Familiarity with outside processing workflows and vendor coordination.
- Basic ability to read packing lists, certifications, and part documentation for accuracy.
- Basic understanding of blueprints.
- Strong organizational skills with the ability to track multiple shipments and vendor timelines simultaneously.
- Good communication skills to liaise effectively with vendors, purchasing, and production teams.
- Attention to detail to catch discrepancies in quantities, documentation, or part condition upon receipt.
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- 1+ years of relevant work experience in a related field.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Excellent organizational and time-management skills.
- Ability to stand, walk, bend, and reach for extended periods throughout a shift.
- Ability to lift and carry up to 40-50 lbs regularly (parts, containers, shipping boxes).
- Ability to use pallet jacks, or other material handling equipment as needed.
- Visual acuity to inspect parts for defects, read part numbers/labels, and review documentation.
- Comfortable working in a manufacturing/warehouse environment with exposure to varying temperatures, noise, and machinery.
- Occasional overhead reaching and working in confined spaces around production equipment.
- Ability to wear required PPE (safety glasses, gloves, steel-toed shoes, etc.) as needed.
