Position: Student Information & Records Admin. Asst.

Guidance Secretary / Registrar

The Student Information & Records Administrative Assistant is responsible for maintaining accurate student information, supporting required state and district reporting, managing student records, and ensuring the integrity of student data across District systems. This position also provides limited clerical and operational support to the guidance office, counselors, and administration as needed.

Specific Responsibilities
  • Maintains accurate student data in the District's student information system, including enrollment, withdrawals, transfers, demographics, schedules, grades, transcripts, report cards, and related student information.
  • Supports state and district reporting requirements, including SIMS, EPIMS, SCS, SSDR, and other required data submissions.
  • Reviews, updates, and verifies student information to support accurate reporting, compliance, and internal District needs.
  • Prepares and maintains reports, spreadsheets, correspondence, and documentation related to student enrollment, attendance, scheduling, records, and state reporting.
  • Coordinates student registration, enrollment, withdrawals, transfers, and related documentation.
  • Maintains confidential student records, including cumulative files, transcripts, enrollment documentation, grades, report cards, and scheduling information in both electronic and paper formats.
  • Processes transcript requests, records requests, and transfer documentation for current students, former students, families, and receiving schools.
  • Coordinates transportation and bussing communication, records, and student information as assigned.
  • Supports graduation-related data and documentation, including diploma information, graduation lists, scholarships, awards, caps and gowns, programs, and related senior records.
  • Assists with data cleanup, record reconciliation, and follow-up regarding missing or incomplete student information.
  • Serves as a point of contact for student records, registration, enrollment, and related data questions from students, families, staff, and outside agencies, as appropriate.
  • Provides limited guidance office support, including assisting with communication, appointments, calendars, testing coordination, office operations, and guidance-related events.
  • Maintains confidentiality of sensitive student, family, and staff information in accordance with District policies and applicable laws.
  • Performs other related duties as assigned by the building administration or District administration.
Qualifications
  • Associate's degree preferred; high school diploma required.
  • Prior experience with student information systems, school data reporting, registrar functions, school office operations, or administrative support preferred.
  • Experience with state reporting, student records, enrollment, scheduling, or data management preferred.
  • Strong technology skills required, including the ability to use student information systems, spreadsheets, databases, email, and standard office software.
  • Strong attention to detail and ability to maintain accurate records required.
  • Ability to organize, prioritize, and manage multiple deadlines in a fast-paced school environment.
  • Strong communication and interpersonal skills required.
  • Ability to maintain confidentiality and work collaboratively with students, families, staff, administration, and outside agencies.

Physical Demands:
Most work is performed in a typical office environment requiring minimal to light physical effort. This may include everyday discomforts and distractions of office settings, including proximity to colleagues, temperature variations, frequent interruptions and moderate noise. This position requires the ability to operate a computer keyboard and standard office equipment at efficient speed and for lengthy periods of time.

Salary Range: $24.21 - 30.72 per hour
