Orthopaedic Office Manager RHCH

As the Orthopaedics Admin Office Manager in Winchester, you will lead and deliver key performance and operational criteria as outlined in the NHS Constitutional Standards for patients and as required by the Trust. You will monitor and forecast service demand and capacity, and ensure patient access issues are identified and resolved promptly. You will provide leadership and operational management skills to support your administrative team, the Office Manager in Basingstoke, and the Deputy & Operational Services Manager (OSM) where appropriate.

You will line‑manage, develop and support administrative staff, while also leading on improving the efficiency and quality of administrative processes and the smooth running of both inpatient and outpatient waiting lists, working with consultants and their admin staff. You will coordinate booking for a consultant and cover staff absences within the team when required, working closely with your counterpart in Basingstoke to ensure cross‑site working and continuity over HHFT.

You will strive for excellence in supporting patients through their care pathway, playing a key role in planning, organising and developing systems and processes. You will primarily be based at Royal Hampshire County Hospital but should be willing to travel across sites when required.

Main duties of the job
  • Organise and manage the orthopaedic administration staff.
  • Support delivery of 18‑week compliance and work toward having no patients waiting over 52 weeks.
  • Arrange and lead regular team meetings to ensure booking of appointments and admissions meet mandatory patient waiting time targets and maximise available theatre and outpatient clinic capacity.
  • Ensure clinic templates, outpatient and inpatient waiting lists are compliant with Trust policy.
  • Line‑manage all aspects: staff performance, staffing issues, sickness/leave/disciplinary matters, job role changes, continuity of service.
  • Liaise regularly with appropriate Consultants, OSM and Deputy Basingstoke Office Manager to build appropriate relationships.
  • Support the OSM in new initiatives and ensure services develop in line with the Trust's strategy.
  • Formulate options to address administrative issues identified and develop and implement new protocols and procedures.
  • Plan, develop and implement processes to resolve administrative issues, including identifying incorrect or missing data.
  • Coordinate for one consultant and support the team when there are sickness, vacancies or leave.

Training and Qualifications
  • Good education with A–C in English and Maths at GCSE level.
  • Recognised computer literacy course or equivalent experience.
  • Evidence of continuing professional development.
  • Degree, diploma level or equivalent relevant experience.
Experience and Knowledge
  • Experience working in an NHS healthcare environment.
  • Experience using a variety of NHS booking systems.
  • Supervisory experience – ability to manage, lead and coordinate staff.
