Administrative Support Specialist
This position is responsible for performing administrative duties in support of department operations.
Provides administrative support, such as maintaining department and employee schedules, coordinating meetings and agendas, making travel arrangements, editing and preparing newsletters, brochures and basic reports, researching information, generating totals from calculations, and providing related support. Reviews, researches and enters information to department reporting systems.
Answers telephone and greets visitors; provides information and assistance; refers to appropriate personnel; takes messages.
Maintains department files and records;
Performing background checks, and maintaining related personnel information. Prepares and processes personnel transaction forms.
Processes incoming and outgoing purchase orders, vouchers, price agreements, payments, and petty cash disbursements.
Performs basic office duties, such as copying, filing, faxing, typing standard documents, preparing, sorting, and distributing mail and entering data. Provides customer support by answering phones, assisting walk-in customers, and researching and/or providing information to the public.
Maintains, updates and ensures the accuracy of standard documents, records and accounts.
Performs other duties of a similar nature or level.
Performs other assigned administrative duties as associated with area of assignment.
MINIMUM REQUIREMENTS TO PERFORM WORK:
High school diploma or equivalent;
Two (2) years of experience in a related field;
Or equivalent training, education, and/or experience; and Valid State of Georgia Driver's License.
KNOWLEDGE, SKILLS, AND ABILITIES
Knowledge of modern office practices and procedures;
Knowledge of computers and job-related software programs;
Knowledge of departmental policies, procedures, and functions;
Skill in the provision of customer services;
Skill in public and interpersonal relations;
Skill in oral and written communication;
Ability to read, write, and perform mathematical calculations; and Ability to establish and maintain working relationships with County officials, other employees, and the general public.
PHYSICAL DEMANDS:
Work is typically performed while intermittently sitting, standing, or stooping. The employee occasionally lifts light and heavy objects, distinguishes between shades of color, and utilizes a sense of smell.
