Data Realm is currently seeking a detail-oriented Administrative Assistant (Accounting) to support our administrative team. This role is primarily focused on accounting and bookkeeping responsibilities and will also provide support across operations and marketing as needed, offering variety and exposure to different areas of the business.
What You’ll Be Doing Accounting & Bookkeeping- Record and maintain daily financial transactions in the accounting system
- Support Accounts Receivable (AR) processes, including invoice preparation, issuing invoices, tracking payments, and following up on outstanding balances
- Perform monthly bank and credit card reconciliations to ensure accuracy of financial records
- Assist with Accounts Payable (AP), including processing vendor invoices, verifying expenses, and preparing payments
- Maintain accurate financial records through data entry and general bookkeeping tasks
- Work with internal expense tracking systems, record in financial software
- Process weekly payroll using Pay Trak and ADP, ensuring accuracy and confidentiality
- Prepare journal entries and support month-end and year-end closing processes
- Track employee expenses using our internal system
- Provide day-to-day administrative support across accounting, operations, and marketing functions
- Maintain organized digital and physical filing systems
- Support operational activities, including client communication related to invoicing, documentation, and project‑related administrative matters
- Provide occasional support with company marketing initiatives, including social media coordination
- Diploma or Certificate in Accounting, Business Administration, Office Administration, or a related field
- 1–2 years of experience in bookkeeping, accounting, payroll, or office administration
- Strong understanding of basic accounting principles and financial processes
- Experience with payroll processing is considered an asset
- Experience using accounting or payroll software such as Quick Books, Pay Trak, or ADP is considered an asset
- Proficiency with Microsoft Office Suite, particularly Excel and Outlook
- Strong attention to detail with excellent organizational and time management skills
- Ability to handle confidential information with professionalism and discretion
- Strong written and verbal communication skills
- Ability to prioritize tasks, manage deadlines, and adapt in a dynamic environment
