Under general supervision, responsible for the operation of the front desk and general office administration and oversight duties across cost centers.

Essential Duties and Responsibilities Front Desk
  • Answers, screens, and directs calls on a multi-line phone system in a courteous and professional manner; transfers incoming calls to the appropriate staff member.
  • Meets and greets all visitors; ensures visitors sign in when necessary, determines their needs, and directs them to the appropriate employee or location; updates Welcome Screen as needed.
  • Maintains the phone system including all messages for after-hours, company events, and holidays; clears general mailbox messages each morning and delivers to appropriate employees.
  • Manages incoming and outgoing mail including distribution.
General Office Support
  • Assists with corporate guests and visitors, including visitor badges and check-in, hotel, and meal reservations.
  • Provides general meeting coordination services; manages conference room preparation for visitors and meetings; coordinates on-site meeting refreshments and lunches; arranges meal reservations as needed.
  • Provides general support for daily facility maintenance and vendor contact for regularly scheduled facility services and general repairs.
  • Performs regularly scheduled facility inspections; documents needed repairs or issues and coordinates with the maintenance company.
  • Maintains oversight of the break room including ordering of supplies, general tidiness, regular refrigerator clean‑out, and coffee machine maintenance.
  • Maintains conference rooms and general office spaces for tidiness and ensures they are stocked with necessary items; prepares larger scheduled meetings and trainings to include snacks, waters, and related supplies.
  • Provides assistance or oversight of company events and parties.
Qualifications

  • Demonstrate the ability to prioritize and multi‑task in a fast‑paced environment.
  • Be punctual with a reliable attendance record to ensure the office opens on time and runs smoothly.
  • Exhibit excellent verbal and written communication skills to work effectively and professionally with customers, management, and staff.
  • Be a self‑initiator; as the hub of the office, the successful candidate must anticipate needs, identify potential issues proactively, and take initiative to ensure a smooth‑running office and a professional, welcoming environment for visitors.
  • Exhibit strong organizational skills with the ability to manage priorities and workflow.
  • Demonstrate the ability to plan and execute on‑site meeting coordination and general event planning.
  • Proficiency in Microsoft Office Suite.
Education and/or Experience

High School diploma or equivalent and a minimum of 2 years of related office management or office administration experience required; experience within an engineering, manufacturing, or light industrial environment is preferred.
