Investment Administrator – Financial Services
Location: Tecumseh, ON N8N 4W5 – reliable commute required
Work Setting: In person

What You’ll Be Doing- Coordinate and schedule client meetings and portfolio reviews
- Prepare meeting packages, trade forms, applications, and compliance documentation
- Communicate professionally with clients via phone and email
- Follow up on outstanding client requests and required paperwork
- Accurately enter client information and investment transactions into internal systems
- Process trade orders and ensure all documentation is complete
- Submit trade confirmations and fund transfers to investment companies
- Track pending transactions and resolve discrepancies promptly
- Organize and maintain digital and physical client files
- Scan, index, and store compliance materials in accordance with CIRO requirements
- Maintain audit‑ready records and internal tracking lists
- Ensure all paperwork meets regulatory and firm standards
- Assist advisors with administrative projects and client correspondence
- Maintain workflow lists and internal task management
- Support day‑to‑day office operations to ensure a smooth client experience
- Microsoft 365 (Word, Excel, Outlook, Teams)
- Navi Plan – financial planning software
- Morningstar Advisor Workstation – investment research and portfolio tools
- Microsoft Dynamics CRM – client management
- Investment dealer and fund company platforms
- Strong proficiency in Microsoft Word, Excel, and Outlook
- Excellent written and verbal English communication
- Exceptional attention to detail and accuracy
- Ability to manage multiple priorities in a fast‑paced environment
- Professional, discreet, and trustworthy with confidential information
- Experience in financial services, insurance, or investment administration
- Familiarity with mutual fund paperwork and compliance processes
- Previous administrative or client service experience

- Salary: $55,000 – $65,000 plus performance bonus
