Duties and Responsibilities:

Reporting to the Manager, Administrative Services, this position:
Is responsible for a variety of clerical and administrative duties pertaining to the Fire Prevention Division.

Carries out financial duties including but not limited to invoicing, processing payments, and creating receipts.

Takes minutes during meetings; inputs updates into database, i.e.

enter Section E’s for follow up, to-do-list, requests for inspection; prepares and prints reports after a fire for investigators; processes Disabled Lists; processes Freedom of Information Requests; processes Fire Investigation Report Requests; processes Lock Box applications and maintains the master list; forwards web site contact request forms to appropriate staff; circulating, mailing and printing fire safety plans as required; sends letters to owners regarding fire safety requirements and maintains that information;

scans approved Fire Safety Plans and maintains the master list.

Will answer phones; maintain address TAB and alphabetic filing system, process mail; process Realtors/Lawyers Letters requests; enters issues into Facilities 360; monitors attendance and enters information into HRMS program; distributes incoming faxes; requests servicing on office equipment as required; maintains stock and supplies; prepares correspondence for Chief Fire Prevention Officer; maintains Fire Prevention phone lists; maintains departmental forms.

Duties and Responsibilities Continued:
Provides support and serve as Emergency Operations Center/Command Post scribe as required.

Is subject to overtime call back in the event of a large scale emergency situation, regardless of the time of day. Cross trains on all clerical positions within the Department and provide coverage as required.

Will perform Occupational Health & Safety duties as outlined in the Corporation’s Health and Safety Program. Will perform other related duties as required.

Qualifications:

Must have an Ontario Secondary School Graduation Diploma plus one (1) year of post-secondary education in Office Administration, Public Administration, Business Administration, Political Science, Social Sciences, Sciences, Emergency Services, or related field from a Community College or Ontario Ministry of Education equivalencies;
Must have over six (6) months of experience in a computerized office environment utilizing the Microsoft Office Suite of Products such as advanced levels in Word, PowerPoint, and Excel;
Must hold and maintain a current, valid and lawful Class ‘G’ Driver’s License in accordance with the Highway Traffic Act, for the purposes of operating a City of Windsor vehicle and provide a driver’s abstract as a condition of employment;
