Hiring Range

The hiring range for this position is between $28.61 - $31.47, depending on experience and qualifications.

Work Schedule

40hrs/week;
Monday – Friday office hours flexed based on program needs; nights/weekends and holidays as scheduled programs dictate

Nature of Work

As a member of the Culture & Engagement Division of the Department of Parks, Recreation & Culture, individuals in this position perform work in a team-based environment supporting the Division’s mission and vision along with the goals, philosophies, and initiatives of the Culture & Engagement Manager.

As a member of the Community Events team, individuals in this position work primarily independently to coordinate all aspects of special event management including, but not limited to, event planning; day-of operations; contractor, vendor, and sponsor coordination; event safety; volunteer management; and event teardown and cleanup. The Town of Windsor hosts dozens of special events annually including the Summer Concert Series, Farmer’s Market, 4th of July celebrations, and the Harvest Festival.

This position requires considerable interpersonal communication skills and ability to promote collaboration and inclusion among internal and external groups. Additionally, this position assists with obtaining sponsorship for various Town events, as well as creating/maintaining relationships with event sponsors.

Supervision Received

Individuals work under the direct supervision of the Recreation Supervisor – Events & Sponsorship to carry out assigned duties, functions, roles, and projects in both routine and complex circumstances.

This individual supervises, recruits, trains, and schedules various part-time year-round staff, seasonal staff, volunteers, and several contractual employees at any given time.

Essential Job Functions

The Events & Engagement Coordinator role is assigned specific assignments, job duties, scope, authority, responsibility, roles, and requirements as determined by the town, department, division, and pursuant to laws, regulations, and practices. Individuals in this position must be able to successfully perform, be responsible for, and/or assist in the fulfillment of many job functions and duties, with or without reasonable accommodation.

  • Plan, develop, and implement special events and community programs that align with organizational goals and town initiatives, including budgeting, event logistics, and evaluation of outcomes.
  • Recruit, train, supervise, and evaluate staff, contractors, and volunteers, ensuring effective coordination of work activities and high‑quality program delivery.
  • Serve as a liaison among town departments, vendors, community partners, and outside organizations to facilitate collaborations, sponsor ships, and contractual agreements.
  • Oversee marketing and promotional efforts for events and programs, including social media, print materials, and specialized campaigns, while maintaining participation records and program inventories.
  • Ensure event and program safety by anticipating risks, enforcing procedures, and serving as a role model for professional conduct.
  • Develop innovative community events, partnerships, and sponsorship opportunities to enhance engagement, program quality, and revenue generation.
  • Perform administrative tasks including purchasing, financial tracking, budget recommendations, and reporting to management or Town Board on program and event outcomes.
Other Duties

Depending on organizational need, additional duties may include the following:

  • The Events & Engagement Coordinator participates in the Shared Fleet Vehicle Program, which requires an annual motor vehicle record check.
  • Perform research as directed, such as discovering new technology or tools, market research, etc.
