About the Role:Customer Care Coordinator
We are looking for a Customer Care Coordinator to deliver outstanding service and support to our clients. In this position, you will accurately and efficiently process orders while ensuring that our customers receive the highest level of care and professionalism. Your role will directly enhance the experience of our clients as they navigate the complexities of medical equipment and services.
Key Responsibilities- Handle incoming calls and inquiries with timely and professional assistance.
- Efficiently process new order intakes, ensuring accuracy and rapid turnaround.
- Schedule evaluations and equipment adjustments in collaboration with referrals and clients.
- Upload order files for ATPs (Assistive Technology Professionals) to facilitate timely evaluations.
- Review and collect necessary order documents such as Functional Mobility Evaluations (FMEs) and Letters of Medical Necessity (LMNs).
- Provide real-time updates to the team on order processing statuses.
- Coordinate and track equipment deliveries to ensure they meet deadlines.
- Communicate with clients regarding coverage, deductibles, and financial responsibilities.
- Research related equipment via vendor resources.
- Collect and process payments for out-of-pocket expenses.
- Reconcile deliveries and prepare orders for billing.
- Follow up with clients to obtain necessary medical documents when required.
- Provide monthly delivery forecasts for effective planning and execution.
- Manage physical mailouts, including no-contact letters and delivery paperwork copies.
- Maintain effective communication with healthcare providers for smooth service.
- Perform additional duties as required to support team success.
- Required: High School diploma/GED (Associate's degree preferred).
- Experience: Minimum of 3 years of relevant experience in a fast‑paced office or customer service environment.
- Strong customer service orientation focused on providing positive, solutions‑driven experiences.
- Proficiency in Microsoft Office Suite and other productivity tools.
- Able to thrive in a fast‑paced environment while managing multiple tasks and deadlines.
- Exceptional communication skills
, both written and verbal, emphasizing active listening and clarity. - Quick problem‑solving abilities, capable of assessing situations and making sound, independent decisions.
- Ability to meet essential functions of the position, with reasonable accommodations as needed.
- Prolonged periods of desk work and computer use.
