Administrative Assistant To The Principal
The Administrative Assistant to the Principal serves as the primary operational and confidential support for school leadership. This is a 52-week (year-round) position, requiring a highly organized professional capable of:
Financial & Payroll Management- Budget Oversight & Reconciliation:
Manage departmental budgets and perform regular financial reconciliations to ensure fiscal accuracy. - Payroll Administration:
Process and oversee staff payroll, including the coordination of bi-annual stipend disbursements. - Bookkeeping:
Serve as the primary bookkeeper for SPMS, maintaining precise financial records and documentation.
- Calendar Coordination:
Manage and synchronize comprehensive administrative calendars, including the Digital School Calendar and the master Activity Calendar. - Communication Management:
Serve as the first point of contact for the main office by professionally managing high-volume telecommunications. - Meeting Coordination:
Facilitate administrative meetings by preparing materials and tracking attendance. - Interview Scheduling:
Coordinate and manage the logistics for candidate interviews and recruitment efforts.
- Personnel Management (Building HR):
Act as a liaison for building-level Human Resources, ensuring compliance with institutional policies. - Substitutes & Staffing:
Monitor and manage substitute teacher availability to ensure consistent classroom coverage. - Attendance Tracking:
Oversee teacher attendance records and reporting. - Policy Documentation:
Maintain and update the Teacher Handbook to reflect current school regulations and procedures. - Workflow Automation:
Utilize Informed K12 (or similar digital platforms) to streamline administrative workflows and digital forms.
- Compliance Monitoring:
Oversee the annual 6th-grade immunization verification process to meet health department standards. - Disciplinary Records:
Manage the administrative documentation and processing related to student expulsions.
- High School Diploma
- Two years of responsible clerical administrative experience or an equivalent combination of education and experience.
- Good communication skills and a working knowledge of computer programs including Microsoft Word and Excel.
