Summary of Responsibility

Haas Factory Outlet Trident is seeking a detail-oriented and dependable professional to join our team as a Service Administrator. The ideal candidate is interested in building a long-term career in operations within a fast-paced, technical environment.

This role supports daily operations across service, parts coordination, fleet oversight, and internal systems. The Service Administrator works closely with technicians, parts staff, sales, and management to keep work orders moving and ensure operational standards are maintained.

The ideal candidate is proactive, detail-oriented, and comfortable identifying issues, asking questions, and following up to ensure processes are completed accurately and on time. A strong sense of accountability and organization is essential for success in this role.

What You Will Contribute
  • Create and manage service work orders
  • Review completed work orders for accuracy before approval
  • Ensure labor entries, parts usage, and technician notes are complete and properly documented
  • Follow up with technicians when required information is missing or incomplete
  • Monitor and track open and aging work orders to ensure timely completion
  • Process customer parts orders and coordinate order fulfillment
  • Track shipments and update order status as needed
  • Support RMA processing and reconciliation activities
  • Provide administrative support and coordination for the parts, service, and sales teams
  • Monitor company vehicle activity through telematics systems
  • Track mileage, maintenance schedules, and service intervals
  • Maintain accurate and organized vehicle documentation
  • Maintain inventory records of shared service tools
  • Maintain accurate and up-to-date data within Salesforce and ERP systems
  • Help ensure alignment between sales, service, and parts data
  • Identify data inconsistencies and assist in resolving discrepancies

Qualifications & Competencies
  • Ability to stay organized while managing multiple tasks in a fast-paced environment
  • Strong communication skills and confidence interacting with technicians and internal teams
  • Proficiency in Microsoft Excel
  • Ability to quickly learn and navigate Salesforce and ERP systems
  • Mechanical curiosity or an interest in equipment is a plus
  • Prior experience in a manufacturing or service-related industry is helpful but not required
