Duties

The Office Manager leads and coordinates the administrative and financial support for one of three HR Business Partner (HRBP) offices, manages service requests and file management, prepares reports requiring research and analysis to senior management and administers budgets and payment processing. This position is responsible for the SAP FTE Administration which involves maintaining, tracking and controlling complex SAP based organization structure for the entire provincial government.

This position supervises and manages the clerical staff.

Qualifications

Essential:

  • Extensive experience providing administrative coordination and support, including managing file systems, coordinating records management, coordinating meetings and management of office equipment and supplies.
  • Experience in processing accounts payables and preparation of budgets and cashflows.
  • Experience interpreting and applying financial and administrative policies, procedures and practices.
  • Strong organizational and time management skills with ability to prioritize work to meet tight deadlines.
  • Excellent interpersonal skills with the ability to build relationships and interact professionally with all levels of senior and executive management and work collaboratively as part of a team.
  • Leadership skills with the ability to supervise staff, delegate tasks, including ability to coach and mentor.
  • Strong verbal communication skills to communicate clearly and professionally with clients.
  • Written communication skills with experience proofreading, editing and formatting with accuracy and attention to detail.
  • Strong ability to anticipate needs, take initiative and work independently and handle confidential and sensitive information with tact and discretion.
  • Experience working with SAP (or similar database) as it relates to financial and human resource practices.
  • Experience using Microsoft Office programs, including Word, Excel, Outlook, Adobe and Smartsheet.
