The Administrative Assistant provides a broad range of administrative and clerical support to the Manager of Development and Inspections. The position directs all incoming and outgoing communications for the Manager and coordinates the follow-up of items and issues. The position is also responsible for providing administrative support to the Manager on departmental/corporate projects/committees; coordinates the administrative office activities of the Division;
and liaises with political, citizen, business, and civic representatives.
The Administrative Assistant manages the office of the Manager as it relates to work flow, deadline control, report and correspondence tracking, scheduling and agenda preparation, and uses discretion and sound judgment in workload management and prioritization on a daily basis. The Administrative Assistant is required to coordinate information so as to ensure that the Manager is well informed on key issues and is in a position to provide professional, timely administrative advice to members of Council, the public and civic administration.
This position is therefore required to be knowledgeable about the current issues under consideration by the Manager and the department and to be familiar with the Manager’s position on each issue.
As the Clerk C – Administrative Assistant, your duties will include:
- Directing all incoming and outgoing communications for the Manager and coordinates the follow up and resolution of items and issues.
- Providing administrative support to the Manager.
- Supporting the Manager on departmental and/or corporate projects and/or committees as assigned.
- Coordinating administrative office activities of the Division, including supervisory duties.
- Liaising with representatives from the Mayor’s Office, Councilors, Senior Management, Administration and the general public on a variety of matters, some of a confidential nature and provides consultative service.
- Analyzing all correspondence, administrative reports, agreements, and invoices submitted to the Manager for signature and approval.
- Providing back-up duties for other clerical functions and projects.
- Managing periodic one-off projects.
