The opportunity:
The Lead, Dean’s Office Executive Support Team provides high‑level organizational, administrative, and strategic support to the Dean of the Asper School of Business. Reporting directly to the Dean, the incumbent works with minimal supervision, manages confidential academic, personnel, and financial matters, and ensures the smooth day‑to‑day operations of the Dean’s Office. Key duties include screening and scheduling all of the Dean’s appointments, managing information flow, and supporting committees chaired by the Dean (or designate).
The role requires strong communication skills, sound judgment, knowledge of University and Asper School of Business (ASB) policies, and the ability to work under pressure while handling multiple time‑sensitive priorities with professionalism and discretion.
The position also includes supervisory and leadership responsibilities, overseeing administrative staff, including two Confidential Assistants, and fostering a collaborative, high‑performing team environment. The incumbent supports the Deanery in shaping and executing strategic priorities, improving workflows, and strengthening engagement across academic departments. As the primary communication bridge between departments and senior leadership, the role manages complex inquiries, advises on policy, and ensures alignment across operations.
Given access to highly sensitive information, the incumbent must uphold strict confidentiality, manage conflicts in accordance with University policies and legislation, and exercise diplomacy in all interactions with faculty, staff, students, and external stakeholders.
- Completion of a post‑secondary diploma or undergraduate degree in a related discipline is required.
- Minimum of 5 years senior‑level administrative/ secretarial experience is required.
- Experience working with sensitive and confidential information.
- Proficiency in data analysis tools and software (e.g. Tableau, Power Bi) is a plus.
- An acceptable equivalent combination of education and experience may be considered.
- Excellent verbal and written communication skills required.
- Excellent interpersonal skills required.
- Strong organizational and time management skills required.
- Tact, diplomacy, flexibility, and the ability to maintain confidentiality required.
- Strong understanding of MS Office 365, Teams, and SharePoint required.
- Proven knowledge of current computer software such as Word, PowerPoint, and Excel required.
- Ability to quickly learn other software such as Qualtrics (survey software) and reporting software required.
- Ability to work independently in a busy environment required.
- Ability to exercise tact and flexibility when dealing with sensitive issues required.
Ability to work under pressure and manage a heavy workload required. - Ability to work harmoniously and effectively with all levels of faculty, staff, and students in a variety of contexts required.
- Ability to multi‑task required.
- Satisfactory work record, including satisfactory attendance and punctuality, is required.
