Position SummaryReporting to the Director, the Senior Administrative Assistant provides high‑level administrative, coordination, and analytical support to the Director and to the Intergovernmental Services, Regional Planning, and Recreation and Community Support teams. The position ensures efficient operations and effective management of executive priorities in a complex, politically sensitive, and fast‑paced environment with high volumes of regional, intermunicipal, and corporate initiatives.
Acting as a trusted partner and primary point of contact for internal and external stakeholders, the Senior Administrative Assistant manages the Director’s schedule and priorities, coordinates divisional workflows, drafts and edits professional correspondence, reports, and presentations, supports budget tracking and financial reconciliation, and maintains organized records systems. The role requires exceptional organizational, communication, and time management skills; advanced writing and editing;
sound judgment and critical thinking; and a proactive, anticipatory approach to problem‑solving.
The position works closely with the Chief of Staff and CAO office Administrative Staff to ensure seamless coordination of executive priorities, Council-related workflows, and corporate initiatives across the organization.
Director and Divisional Support- Manage the Director’s calendar, including complex scheduling across Council, Executive Leadership Team, intermunicipal committees, regional partnerships, and internal meetings, ensuring alignment with strategic priorities and critical deadlines.
- Triage and prioritize incoming emails, correspondence, and requests to the Director; including those received via the Council helpline in addition to regular channels; identify and attach relevant background materials; redirect items to appropriate managers or staff; track follow‑up and completion.
- Prepare concise briefs, speaking notes, and summary packages for the Director in advance of key Council, committee, regional, and stakeholder meetings.
- Monitor and track divisional commitments, action items, and deliverables arising from Council direction, ELT decisions, intermunicipal committees, and regional working groups; proactively remind the Director and managers of upcoming deadlines.
- Provide confidential administrative support on matters involving labour relations, intermunicipal negotiations, and sensitive political or community issues.
- Collaborate closely with the Chief of Staff to align divisional priorities, coordinate executive scheduling, and ensure timely flow of information between the Director and the CAO's office on Council direction, corporate initiatives, and intergovernmental matters including coordinating with the Chief of Staff on Intermunicipal Committee (IMC) meetings and related engagements.
