Duties:
Providing specialized, confidential administrative support to the Minister, the Assistant will function as the office lead and scheduling coordinator. This position works under limited supervision and exercises a high degree of initiative to coordinate and respond to requests, schedule meetings and appointments while ensuring smooth operation of the Minister's office.
Qualifications:Essential:Extensive experience providing administrative and secretarial support to executive and senior level staff including scheduling meetings, coordinating appointments and making travel arrangementsExperience managing correspondence tracking systems and setting up and maintaining physical and electronic filesExcellent interpersonal skills with the ability to deal with a variety of internal and external stakeholders using tact and diplomacyProven organizational and time management skills with the ability to meet strict and shifting prioritiesExcellent written communication with the ability to draft, format, edit and proofread correspondenceExperience working with sensitive material in a confidential and professional mannerExcellent problem solving skills and ability to exercise a high level of initiativeExcellent verbal communication skillsProficiency in Microsoft Office, including Word, Excel, Outlook and Power Point Thorough knowledge of administrative procedures, legislation and legislative processes, and policies of the Manitoba governmentExperience supervising employees, delegating work assignments and monitoring work flowDesired:Experience working in the Manitoba Legislative building environment providing administrative and secretarial supportExperience working with Activities and Issues Management System (AIMS) or Shared Information Management System (SIMS)Conditions of Employment:
