Position: Executive Assitant to the CEO / Office Admin

We are currently seeking an experienced, dedicated and highly ambitious Office Administrator / Executive

Assistant to the CEO to play a key role in supporting the leadership team and ensuring the smooth operation of the company's administrative functions.

Position Requirements for the Role of Office Administrator / Executive Assistant

As the Office Administrator / Executive Assistant to the CEO, you will be instrumental in managing various administrative tasks, assisting key executives with their schedules, ensuring effective communication, and facilitating the smooth flow of operations across the company. Your role will involve managing emails, handling phone inquiries, organizing documents, maintaining records, taking notes at meetings, and supporting special projects as needed.

This position requires a proactive, resourceful, adaptable and highly-organized individual who can work independently and collaboratively to ensure the success of our executive team.

Key Responsibilities
  • Executive Support:
    Work directly with the CEO and other key executives to manage daily operations, including scheduling, time‑sensitive issues, and follow‑ups.
  • Calendar and Travel Management:
    Organize and manage appointments, travel arrangements, and logistics for the CEO and executive team, ensuring smooth operations.
  • Event Planning & Tradeshow Support:
    Assist in planning and coordinating corporate events, including trade shows, annual golf tournaments, and company functions. Handle all associated arrangements, including travel, registration, and on‑site support.
  • Documentation & Communication Management:
    Prepare, edit, and store company documents, materials, and reports. Write and distribute correspondence, including emails, letters, and forms.
  • Team Meeting Support:
    Assist with planning and scheduling team meetings, take detailed meeting minutes, and support ongoing communication across the company.
  • Digital Content Management:
    Contribute to the management of the company's digital content, including website and social media platforms.
  • Record Keeping & Filing:
    Organize and maintain digital and physical filing systems, including corporate contracts and office policies.
  • Office Operations:
    Maintain office supplies, ensure office cleanliness, and support general office maintenance.
  • Customer Support:
    Serve as the point of contact for internal and external customer support functions, maintaining professional communication at all times.
  • Company Culture:
    Support and plan company events such as staff birthdays, BBQs, and other functions to foster a positive work environment.
Qualifications

A certificate, diploma, or degree in business administration, administrative assistant, or a related field (or equivalent skills and experience).

Experience

3-5 years' experience in an administrative or executive assistant role, with a proven ability to manage multiple tasks and responsibilities.

Skills
  • Proficient in MS Office Suite (Word, Excel, Outlook, Teams) and Zoom
  • Exceptional written and verbal communication skills
  • Strong interpersonal and decision‑making abilities
  • Ability to prioritize, manage multiple assignments, and meet deadlines effectively
  • Highest level of confidentiality and integrity
  • Ability to work independently, with minimal supervision, while maintaining a proactive approach
  • Ability to adapt to changing priorities in a fast‑paced environment
  • Must have a valid driver's license for company‑related errands
