We’re looking for an organized, detail-driven Brand Activation Coordinator to join our Marketing team hybrid within our Winnipeg Office.

This role sits at the operational heart of how Pollard Banknote shows up in the world. From industry trade shows and sponsor ships to client events and branded activations, you’ll be the person who makes sure every detail is tracked, every deadline is met, and every shipment arrives where it’s supposed to. What You’ll Do

Support the planning and coordination of conferences, trade shows, sponsor ships, webinars, and client events

Prepare event files, production timelines, tracking documents, presentations, and activation materials

Coordinate shipment and organization of booth materials, signage, giveaways, and marketing collateral

Assist with travel coordination, hotel tracking, registrations, and shipping logistics

Provide onsite event setup and operational support as needed

Manage timelines and follow‑ups with internal teams and external vendors

Track event expenses and maintain budget spreadsheets and documentation

Process invoices, purchase requests, vendor forms, and expense reconciliation

Maintain organized event records, contracts, and project files

Assist with post‑event reporting, expense summaries, and document preparation

Support Mailchimp database management and reporting

Coordinate ordering, tracking, and inventory management of promotional merchandise and branded materials

Maintain inventory records for event assets, giveaways, and marketing materials

Coordinate replenishment and distribution of promotional items

Provide back‑up support for the Ticket Sample Library, including fulfillment coordination and sample request organization

Support additional departmental and brand activation projects as assigned

Who You Are

Highly organized and detail-oriented — you don’t let things fall through the cracks

A strong communicator who keeps internal teams and external vendors aligned and on schedule

Comfortable managing multiple priorities and deadlines simultaneously without losing your cool

Someone who takes initiative and follows through without needing to be asked twice

Equally at home in a spreadsheet as you are at an event venue helping set up a booth

Positive, professional, and a solid team player

What You’ll Bring

1–3 years of experience in marketing coordination, event coordination, administrative support, or a related role

Experience supporting conferences, trade shows, or marketing initiatives is a strong asset

Strong proficiency in MS Office (Word, PowerPoint, Excel); experience with Mailchimp or similar platforms is an asset

Excellent written and verbal communication skills

Ability to lift and move event materials and promotional items as needed

Flexibility for periodic travel to conferences and event sites
