The opportunity:

Reporting to the Lead, Operations Account Services - Private Counsel Operations, the Partner Support Associate plays a crucial role as the first line of contact for Wellington-Altus Private Counsel (WAPC). The associate is responsible for efficiently handling queries, escalations, and providing effective problem resolution to the advisory teams that comprise WAPC. The role also entails acting as a primary point of contact for internal departments and external partners, including Custodians and service providers.

Moreover, the Partner Support Associate will collaborate closely with the Lead Process Specialist to document and review processes, with a keen focus on identifying potential improvements to enhance overall efficiency.

Key responsibilities include:

  • Ownership of the WAPC Hub Serve as the primary point of contact and provide outstanding support to the advisory teams within Wellington-Altus Private Counsel. Handle queries, escalations, and provide timely resolutions to ensure the smooth operation of WAPC. Collaborate with internal departments and external partners, such as Custodians and service providers, to address inquiries and maintain strong working relationships. Proactively identify opportunities for process optimization, streamlining workflows, and implementing best practices.

    Assist in the development and maintenance of comprehensive knowledge resources, guidelines, and standard operating procedures to facilitate effective information sharing and consistent service delivery. Stay up-to-date with process changes, and best practices to continually enhance knowledge and provide informed support to the advisory teams. Collaborate with cross-functional teams to address complex issues, propose solutions, and drive process improvements. Regularly report on key performance metrics, including response times and issue resolution rates, to the Manager, Private Counsel Operations.
  • Administrative Work Prepare and distribute client communications, including quarterly statements. Undertake project work, as necessary, to enhance WAPC Operations. Review and address custodial reporting requirements. Identify training opportunities and potential areas for procedure improvement. Perform other duties as assigned.
  • The ideal candidate will possess:

  • Bachelor’s degree in business administration, finance, or similar field of study, or equivalent combination of education and experience.
  • 2+ years’ experience in a customer/client-service facing role within the financial services industry.
  • Equivalent combination of education and experience may be considered.
  • Experience in wealth management/financial services or other regulated industry is a strong asset.
  • Investment Support and Private Counsel experience would be considered an asset.
  • Valid CSC/CPH or Canadian Investment Regulatory Exam (CIRE) is considered an asset.
  • Proficiency with the MSOffice suite, including Word, Excel, Powerpoint, Teams, and Outlook.
  • Strong knowledge and desire to learn new technology applications quickly, such as Docu Sign, custodian applications, WA systems.
  • Exceptional problem-solving skills with the ability to analyze issues, identify root causes, and propose effective long-term solutions.
