Work Arrangement FlexibilityWe are primarily seeking a full-time Proposal Coordinator. However, we are also open to discussing a part-time role with an experienced candidate who can demonstrate the skills and expertise we're looking for. In this role, you will be responsible for coordinating and preparing high-quality proposals, qualifications packages, fee submissions, and marketing materials that help secure new work. Working closely with our Partners, technical staff, and business development team, you will manage proposal development from opportunity identification through submission while ensuring every deliverable meets client requirements and reflects our firm's professional standards.
Proposal Development & Submission- Coordinate and manage the complete proposal process for fee proposals, RFQs, RFPs, prequalification packages, and qualification submissions.
- Prepare, edit, format, and assemble proposals using company templates while ensuring accuracy, consistency, and professional presentation.
- Coordinate with Partners and technical staff to gather project information, scope, fees, resumes, and project experience.
- Develop proposal schedules, manage deadlines, and coordinate review cycles to ensure timely submissions.
- Verify compliance with client requirements and act as the final quality control reviewer prior to submission.
- Lead smaller proposal pursuits and support larger, multi-discipline pursuits through the interview stage when required.
- Coordinate proposal reviews, incorporate reviewer comments, and manage final revisions.
- Participate in go/no-go discussions, capture planning, and proposal strategy meetings.
- Conduct proposal debriefs and track client feedback to support continuous improvement.
- Develop and maintain project sheets, staff resumes, qualifications packages, and corporate marketing materials.
- Write and edit technical project descriptions, resumes, and proposal narratives.
- Customize marketing materials to align with specific client requirements and project opportunities.
- Work with technical staff to keep proposal content current and organized while supporting the development of capability statements and other business development materials.
- Create and maintain professional content for the company's social media platforms.
- Coordinate collaborative marketing posts with partner firms.
- Maintain consistent branding across digital platforms and assist with website content updates.
- Maintain an organized library of proposals, qualifications, contracts, and supporting documents.
- Track proposal opportunities, submissions, outcomes, and project wins.
- Continuously improve proposal templates, boilerplate content, and internal proposal processes.
- Assist with project initiation within the company's project management system.
- Provide guidance to junior proposal team members when required.
Your Path to Success
- Diploma or degree in Business, Marketing, Communications, English, or a related field.
- Excellent writing, editing, proofreading, and document formatting skills.
- Strong organizational and time-management skills with a proven track record of managing multiple competing and concurrent deadlines.
- Exceptional attention to detail and commitment to producing high-quality work.
- Strong interpersonal skills and a natural ability to collaborate seamlessly with technical professionals and senior leadership.
- Proficiency with standard office software (MS Office, Outlook, Word, Excel, PowerPoint, Adobe).
- Experience using AI and productivity tools to improve proposal quality and efficiency.
- Two or more years of proposal, marketing, or communications experience within an engineering consulting, architecture, or construction firm.
- Understanding of Canadian procurement processes, including public and private sector RFQs, RFPs, and prequalification submissions.
- Familiarity with proposal methodologies such as compliance matrices, Go/No-Go decisions, and formal review processes.
- Experience writing resumes, project descriptions, and technical proposal content.
