Working as part of an integrated and collaborative Public Engagement team, the Database and Prospect Research Officer will report to the Associate Director of Development. This role is responsible for managing the WSO’s CRM database, gift processing, including financial reporting and reconciliation, and prospect research. This position will offer support to the WSO’s Capital Campaign activities as necessary.
The Database and Prospect Research Officer plays a key role within a dynamic team that meets or exceeds annual revenue targets and supports fundraising initiatives. The Database and Prospect Research Officer will be a data‑driven professional who will play an integral role in managing the growth and development of the prospect pipeline to enable the fundraising ambitions of the WSO. Some duties will include:
Develop strategies and grow the prospect pool through data analysis to support fundraising strategy development
Support fundraisers by conducting timely research on prospects, donors and volunteers
Create reports and prepare information packages relating to donor prospects for WSO events, external events and meetings
Monitor news headlines and communicate information that impacts WSO fundraising strategies and the philanthropic environment
Develop an in-depth understanding of the WSO’s CRM database (Tessitura) and maintain and manage the research data, build queries, export, and create records
Ensure CRM data is accurate, relevant and processed
Support the Development Team’s systems and processes that track donor/sponsor/funder interactions and recognition deliverables
Participate in the WSO’s Capital Campaign meetings, including providing reports, commenting on research, and making recommendations on fundraising strategies
Other duties as assigned
Qualifications
Minimum 3-5 years experience working in a fundraising environment, in prospect research and/or database management
Proficiency with a CRM database
Commitment to ongoing professional development
Current knowledge of fund development theory, principles, ethics and practices
Demonstrated knowledge of various research methods with the ability to search consistently for new information and developments in related fields
Knowledge of the performing arts, and the ability to work within a high‑pressure environment with multiple deadlines
Strong written and verbal communication skills
Strong analytical skills
Highly organized and deadline‑oriented with effective planning abilities
Ability to maintain strict confidentiality and exercise tact and diplomacy, especially when working with sensitive donor information and data
Collaborative team player who can take lead on projects and support colleagues as needed
Flexible and willing to occasionally work evenings and weekends
