Position SummaryReporting to the General Manager, the Event Manager is responsible for the planning, coordination, and flawless execution of events at Graydon Hall. This role serves as the primary client contact post-sale, overseeing every detail of each booking to uphold our exceptional standards. While event management is the primary focus, this role also supports sales by conducting venue tours and assisting the sales team as needed.
Responsibilities- Event Planning & Execution (Primary)
Serve as the client's main point of contact following the sale handoff.
Take full ownership of event file management across physical files and online folders, ensuring every document is saved, organized, and up to date. Thoroughness and attention to detail are non‑negotiable in this role.
Guide clients through tastings and event design.
Conduct planning meetings and final details calls (customizing menus, finalizing bar selections, coordinating special requests, and creating and updating floor plans).
Manage rental orders, and all other supporting forms and submissions.
Coordinate and lead rehearsals.
On the day of the event: oversee setup and ensure flawless execution from start to finish.
- Sales Support (Secondary)
Conduct venue tours when a Sales Manager is unavailable.
Create customized proposals based on client needs, preferences, and budgets.
Negotiate pricing, terms, and special requests within company guidelines.
Secure signed contracts, payment, and ensure all required documentation is complete.
Keep client records and systems updated with accurate information, notes, and event details.
- Bachelor's Degree or equivalent experience in event planning, event sales, or hospitality.
- Prior experience in event planning and/or sales is strongly preferred.
- Working knowledge of food and beverage services.
- Excellent oral and written communication skills.
- Highly organized, detail-oriented, and able to manage multiple events and deadlines simultaneously.
- Confident negotiator with the ability to manage client expectations professionally.
- Ability to create, manage, and control budgets for each event.
- Sound judgment and the ability to make independent decisions under pressure.
- Positive, professional attitude, especially in challenging circumstances.
- Proficiency in Microsoft Word, Excel, and Outlook.
- Must be available to work evenings, weekends, and holidays — the majority of our events take place on evenings and weekends, and availability during these times is a requirement of the role.
- Experience in a luxury or high-end hospitality workplace.
- Previous sales experience.
- Hands‑on experience coordinating weddings or upscale private events.
- Experience with Triple Seat or similar event management software.
