Position: Clerk II (Office Support Specialist)

Position located at the Law Enforcement Center, 201 W 3rd St, Winona, MN 55987, USA. The successful applicant serves as the first point of contact for visitors to the Winona County Law Enforcement Center and provides essential support functions to the Sheriff's Office. Responsibilities include clerical and customer service duties such as processing gun permits, reviewing annual Permits to Carry, answering non‑emergency phone calls, and preparing reports for the Finance Department.

Compensation starts at $25.06 per hour (Duty-Oriented Wage) with advancement potential up to $32.92 per hour.

Responsibilities
  • Types straight copy from rough drafts or correct forms, prepares materials for duplication, creates tables, graphs, charts, and diagrams based on supplied data.
  • Classifies informational material, correspondence, special forms, records, and orders; sets up files and codes according to departmental systems; maintains systematic filing.
  • Composes correspondence requiring specific knowledge of methods, procedures, and policies; reviews forms for spelling, punctuation, grammar, and layout.
  • Performs routine record entries, calculations, and prepares vouchers or routine forms such as checks, receipts, and invoices.
  • Draws up contracts, specifications, or other forms requiring procedural knowledge; reads incoming correspondence to determine destination; anticipates needs of supported officials; arranges appointments, meetings, reservations, and purchases.
  • Answers complex questions, provides directions, and explains details of services, methods, or policies; obtains necessary approvals and assists individuals in completing forms.
  • Assists in training new clerical staff.
  • Resolves questions and provides information personally or by telephone.
  • Researches, analyzes information, and communicates findings.
  • Works with cash, checks, and receipts.
  • Performs any other duties as assigned.
Required Knowledge, Skills, and Abilities
  • Considerable knowledge of modern office procedures, practices, and equipment.
  • Proficiency in arithmetic computations.
  • Establishes and maintains effective filing systems.
  • Compiles data and prepares reports.
  • Composes correspondence requiring application of procedural knowledge.
  • Makes decisions in accordance with laws and departmental policies.
  • Accurate arithmetic (addition, subtraction, multiplication, division).
  • Accuracy in routine bookkeeping entries and business forms.
  • Makes accurate verbal and numerical comparisons.
  • Works with diverse groups, including volunteers, to organize and advise on work‑related issues.
  • Knowledge of legal and technical forms and terminology of the area of specialization.
  • Skilled use of office equipment relevant to the specialization.
  • Knowledge of Microsoft Word and Excel.
  • Strong command of the English language and grammatical structure.
  • Ability to schedule and interrupt work to meet deadlines or coordinate with other schedules.
  • Accurate typing from plain copy.
  • Effective communication with the public.
  • Ability to pass a background investigation.
  • High school graduation and at least three years of increasingly responsible general clerical experience.
