Job Summary

The Research Administrative Coordinator II serves as the primary point of contact for post‑award financial management within the Gerontology department. This role provides advanced oversight of research grant and contract finances, including budget management, cost analysis, compliance monitoring, and account reconciliation. The Coordinator ensures accurate and timely post‑award administration while supporting selected pre‑award activities when needed. Acting as a key liaison to the Office of Research and external funding agencies, the Coordinator facilitates clear communication, supports audit‑ready documentation, and upholds institutional and sponsor requirements.

The position also assists in workload distribution for research administrative staff and offers recommendations to the Business Administrator to meet evolving operational needs.

Education / Experience

• Bachelor’s degree in Accounting, Finance, Business Administration, or equivalent education and/or experience.

• Four years experience with grant application preparation and/or management of grant budgets.

Essential Functions Pre‑Award
  • Support faculty research interests and expertise by identifying appropriate potential sponsors and programs, communicating funding opportunity information to faculty via tracking information through computerized and written sources, and facilitating collaboration across faculty within the department.
  • Facilitate grant and/or contract submission by providing training and guidance to faculty members and department administrators, including preparation of applications, institutional requirements, and administrative processes, and providing examples of various types of grant applications to investigators.
  • Help faculty obtain and review guidelines for requests for proposals and requests for applications, recruit and assist faculty applications; electronically submit applications to extramural funding agencies; finalize proposal submissions and better ensure completeness, adherence to sponsor and institutional requirements and appropriateness of information prior to submission to OR.
  • Work with the Business Manager and departmental faculty to create better awareness of funding opportunities and submission deadlines; process grants to the OR. Project development/proposal submission.
  • Assist faculty in obtaining and coordinating proposal components from various participants when multi‑investigator awards are submitted.
  • With the Business Administrator and faculty, create grant budgets from investigator outlines; prepare and assemble supporting documents to assist PI in writing of budget justification.
  • Create, coordinate and review subcontract grant applications; coordinate negotiation correspondence with management prior to transmittal or contact; review and recommend approval of draft negotiation correspondences associated with basic research agreements.
  • Facilitate communications to departments by participating in training sessions, and preparing information for institutional publications related to research.
  • Under general supervision, act as a liaison for the department to the Office of Research and extramural funding agencies for contract and grant applications.
Post‑Award Management
  • Help prepare re‑budgeting requests; compile and prepare financial progress reports; arrange for and document the acquisition of equipment; function as liaison to the OR to assist with coordination of sponsor updates of grant information; coordinate time and effort information; prepare and approve personnel actions related to project; oversee HR transactions for grant accounts and ensure salaries are posted correctly; track research time and effort;

    prepare approved People Soft personnel actions related to projects.
