The employee in this position will be the first point of contact by phone and in person, for clients seeking services impacted by domestic violence, sexual assault, child maltreatment, elder abuse, and human trafficking, in a trauma-responsive, inclusive, culturally sensitive environment at Bridges to Hope Family Justice Center of Forsyth County. The Office Assistant maintains strict privacy and confidentiality standards based on client needs and community partners.
The Office Assistant triages calls and visits to the Center aiding clients in selecting services based on their self-identified needs and serves as a resource for offsite and onsite offerings.
Work Schedule:
Monday through Friday, 8:00am to 5:00pm

Distinguishing Features
The Office Assistant has demonstrated skills in the following areas: excellent customer service and communication skills (both verbal and written), intermediate experience with Microsoft Office Suite and data management, maintaining a professional office environment, the ability to create forms, signage, templates, reports, etc., and office accounting and record keeping procedures. The Office Assistant is able to perform other duties, functions, and special projects and responsibilities as assigned.
Excellent written and verbal communication skills with proper use of grammar, punctuation and spelling are a necessity in this position.
Minimum Education and Experience
MINIMUM
EDUCATION AND EXPERIENCE:
Graduation from high school or GED and at least one year of office/clerical experience.
A higher level of education will be considered for a substitution for all or part of the experience.
PREFERRED:
Associates Degree in Administration, Office Technology or Office Management in a Human Services setting, with three years of direct office experience in a Human Services office setting.
Bachelor's degree in Business Administration or related field with Office Management experience, with three years direct office experience in a Human Services office setting.
Bilingual (English/Spanish) preferred. Ability to provide interpreting and translation as needed.
Maintaining a specific license such as a driver's license in good standing, without a lapse or loss of a privilege to drive in compliance with North Carolina law, and in compliance with applicable DOT standards for commercial motor vehicle drivers if required to perform the duties assigned to the position.
Essential Duties and Responsibilities
The employee in this position will be the first point of contact for initial screening of clients requesting admittance and services at the Family Justice Center (FJC) and explains a wide variety of readily available information.
Additional responsibilities include the following:
* Greets and receives FJC clients, visitors, and partners; screens and directs clients and visitors; provides an equitable, inclusive, culturally sensitive, and diverse environment and experience for all. explains a wide variety of readily available information in responding to inquiries, both in person, by phone and electronically for FJC staff, and partners.
* Supervises/monitors lobby area to support a safe, secure, and welcoming environment for families seeking services and coordinates hospitality needs of clients as necessary.
* Assists Client Navigators with client flow and maintaining coordination between onsite partner agencies.
* Collects specific information through brief intake from clients identifying direction of services to establish and update records and maintains confidential client information.
* Reviews, verifies, and processes office documents and performs calculations using specific guidelines for the preparation of reports for County, funders, and partners.
* Prepares routine memoranda, letters and other correspondence.
* Prepares the physical environment for meetings, tours and trainings.
* Prepares materials for and participates in occasional community engagement activities.
* Prepares and submits requisitions for supplies, equipment, and maintenance.
* Makes travel arrangements based on established guidelines and instructions.
* Coordinates use of space for meetings and trainings.
* Operates a computer to type, enter, format, and store a variety of standardized formats and utilizes other software packages and/or mainframe database system(s) to enter, update, review, edit, and retrieve data.
* Establishes and maintains alphabetical, chronological, or subject matter files and records; maintains data on automated files.
* Coordinate hospitality needs for clients.
* Applies FJC and County policies, procedures, laws, and regulations, appropriate to the execution of services at the FJC.
