What you'll bring to the team
We are seeking a sharp, adaptable Executive Assistant to serve as a trusted partner to our Park President and keep our day-to-day operations running seamlessly. In this role, you’ll master high-level executive support—from complex scheduling and travel to expense management—while driving broader workplace coordination. This is a Fully Onsite position based at LEGOLAND Florida.
Qualifications & ExperienceKey Responsibilities
- Executive Support & Calendar Management: Manage complex calendars across multiple time zones, anticipate leadership needs, resolve scheduling conflicts, and handle confidential information with strict discretion.
- Travel & Meeting Coordination: Oversee seamless domestic and international travel itineraries, along with full meeting logistics, agendas, briefing materials, presentations, and action-item tracking.
- Financial Administration: Process expenses, purchase orders, and invoices accurately and promptly, ensuring proper approvals and supporting basic budget tracking.
- Office & Workplace Operations: Coordinate daily office operations, vendors, supplies, and meeting spaces to maintain a professional, welcoming environment while driving administrative process improvements.
- HR & Employee Engagement: Partner with HR and IT to support onboarding logistics, team offsites, employee engagement, recognition programs, and charity initiatives.
- Projects & Stakeholder Communication: Serve as a central contact for internal/external stakeholders, collaborate with regional and global EA networks, and provide cross-functional support for special projects and reporting.
- Community & Stakeholder Engagement: Partner with the Chamber of Commerce, local Winter Haven businesses, and Merlin charitable organizations to drive key community and organizational initiatives.
Qualifications and Experience
- Demonstrated experience in an administrative or executive support role in a fast-paced environment.
- Experience supporting senior leadership and preparing executive-level materials preferred.
- Experience supporting office operations, events, or workplace coordination is beneficial.
- Strong organizational, planning, and time management skills with high attention to detail.
- Ability to manage multiple priorities, adapt to changing demands, and meet deadlines.
- Effective communication skills, both written and verbal.
- Strong interpersonal skills with the ability to build relationships across teams.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to handle confidential information with discretion and professionalism.
