To provide administrative support to the Health, Safety and Environment department and to carry out a number of tasks with excellent customer service along with a proactive work ethic in order to ensure the administrative function is professional, queries are efficiently resolved, and deadlines are met.
Key Tasks- Scanning, managing, and filing of Health, Safety and Environment related documentation.
- Working with the company's, site management and representatives to produce inspections and documentation.
- Promoting a good Health and Safety culture at all times.
- To ensure that all work activities are in line with the Company Health & Safety policies/standards at all times.
- Organising training and liaising with management to ensure any training is fully attended.
- Ordering of new first aid equipment, Spill kit contents, PPE, and any other required equipment
- Distributing across sites, first aid equipment, spill kit contents and PPE, as required.
- Managing controlled documents through Q Pulse system.
- Manage DSE, COSHH, Risk Assessment and relevant documentation. To assist where required.
- Assisting in planned fire evacuations across all sites as per planned schedule.
- Collecting environment/recycling information and creating reports using Excel
- Taking relevant notes from meetings
- Creating minutes from relevant meetings for the Health & Safety Department
- Conducting weekly and monthly Health and Safety checks.
- Undertaking site inductions for employees and visitors to comply with Alloga UK’s safety policies.
- Creating a range of reports.
- Monitoring and using the Prime system for all accidents and incidents including reporting.
- Creating weekly reports and sending to relevant departments or individuals.
- Communicating effectively with all other departments
- To ensure that all accidents and near misses are reported immediately to the Line Manager
- To ensure that all department activity is performed in accordance with company procedures.
- To carry out any reasonable request from senior management as required and according to business needs commensurate with training and experience necessary to complete such a request in a competent manner.
- Comply with all applicable Standard Operating Procedures and Training Manuals in order to ensure activities are performed in compliance with relevant requirements of GDP, GMP (as applicable) and any ISO certifications held by the company.
