Job SummaryOffice Administrators / Bookkeepers are expected to help maintain the daily financial and administrative operations of Hey Everything while continuing to provide the outstanding customer service our customers have come to expect. This position works closely with other members of the office team to ensure payroll, accounts payable, accounts receivable, financial reporting, banking, and other administrative responsibilities are completed accurately and on time.
At this stage of our company's growth, this role will divide time between office responsibilities and assisting customers on the sales floor, with additional office responsibilities expected to increase as the company expands.
- Provide outstanding customer service by assisting customers in person and over the phone.
- Operate the point-of-sale system accurately and efficiently.
- Assist with cashiering and daily store operations as needed.
- Process accounts payable and vendor invoices.
- Process accounts receivable, including applying customer payments and preparing monthly statements.
- Process payroll and review employee timecards for accuracy.
- Prepare and file monthly sales tax reports.
- Reconcile daily cash reports and investigate discrepancies.
- Reconcile credit card deposits.
- Maintain company check registers and financial records.
- Process vendor payments through ACH and checks.
- Transfer funds between company bank accounts as needed.
- Monitor and organize company financial records.
- Code and organize company credit card purchases.
- Retrieve, organize, and process office mail.
- File and maintain organized office records.
- Communicate with store managers regarding financial and administrative matters.
- Help improve office procedures and administrative systems as the company grows.
- Maintain confidentiality of all financial and company information.

- Strong math and problem‑solving abilities.
- Ability to work independently and prioritize multiple responsibilities.

- Comfortable learning new software and computer systems.
- Experience with bookkeeping, accounting, payroll, office administration, or retail operations is preferred but not required.
- Proficiency with Microsoft Excel or similar spreadsheet software is preferred.
- Ability to work a flexible schedule, including occasional weekends and holidays if needed.
- Continually expand knowledge of bookkeeping, accounting, and office administration.
- Continually improve customer service and communication skills.
- Help maintain accurate financial records across all store locations.
- Improve the efficiency and organization of office procedures.
- Help develop scalable administrative systems that support future company growth.
