Overview
The Human Capital Assistant provides administrative and Human Capital (HC) support while serving as a key point of contact for employees, candidates, executives, and vendors. This role supports daily office operations, executive coordination, employee services, and travel management, while assisting with onboarding, communications, and confidential HC records.
Responsibilities- Serve as the first point of contact for calls, visitors, vendors, and job applicants; manage front desk and lobby operations
- Support daily office administration including mail distribution, shipping/receiving, scheduling, conference room coordination, filing, and invoice coding
- Maintain internal tools and resources such as SharePoint and other information platforms
- Coordinate meetings, company events, and internal communications, including newsletters and leadership presentations
- Administer the company s travel management platform (Egencia), including user access, traveler support, and system maintenance
- Support Human Capital operations such as employee onboarding/offboarding, record management, and wellness initiatives
- Provide executive administrative support to senior leadership, including meeting logistics and company events
- Assist with overflow administrative tasks and special projects as needed
- A minimum of 3-5 years experience working as an administrator in a professional office setting, human resources experience preferred.
- Demonstrated proficiency of Microsoft programs including Word, Excel, Outlook and Power Point
- Detail oriented with excellent follow-up skills.
- Demonstrated ability to multi-task, work in a fast-paced environment and re-prioritize at a moment s notice.
- Experience in working with confidential information
- Professional attitude and demeanor required.
