Parish Administrative Assistant

The Parish Administrative Assistant includes Receptionist duties and serves as a disciple of Christ by providing a welcoming presence to parishioners, assisting all members of the parish team with warmth and care.

Primary Responsibilities

Parish Reception & Administrative Assistant

  • Hospitality:
    Serve as the "face of the parish," greeting visitors and answering phones with a spirit of Christian charity; new member registration; sending birthday postcards
  • Sacramental:
    Maintaining the Parish Register (Baptisms, Marriages) and issuing certificates; assist engaged couples from start to finish in all areas: FOCCUS, Worship Aids, Bible, Crosses and recording; funeral Worship Aids; scheduling Baptisms, communicate Prep minister information to couples and recording.
  • Communications:
    Coordinate the weekly parish bulletin, help with Google Calendar, update the website, and manage parish-wide mailings or social media; updating the screen in gathering space as well as updating and keeping accurate parish member records.
  • Office Logistics:
    Manage Mass intentions and stipends, receives and sorts Scrip, daily mail and handles mailings; fields IT and computer questions and offers assistance; assists the bookkeeper and offers help to all staff; touchpoint for parish functions (Wine and Cheese Event/Picnic, etc); organizes public office space, makes suggestions to the pastor regarding office space for new hires.
  • Assists the pastor as needed: calendaring, scheduling appointments, council agendas and emails.

Local Safe Environment Coordinator (LoSEC)

  • Due to the sensitive nature of the information accessed, it is of extreme importance that this person understands that confidentiality and discretion are critical to this position.
  • The LoSEC agrees to participate in diocesan sponsored training and guidance in navigating and accessing the VIRTUS website.
  • The LoSEC is responsible for ensuring all applicants for employment or volunteer services have completed all safe environment requirements, to include a Diocesan approved background check, safe environment training, and read, reviewed, and signed a Code of Conduct.
  • The LoSEC is responsible for ensuring completion of the VIRTUS program Protecting God's Children Adult Online Awareness Session and completion of the online training bulletins by required employees. (See Policy on Maintaining Safe Environments-Diocesan Policies and Resources).
  • The LoSEC is responsible for submitting requested reports to the Diocese of Green Bay in accordance with the Bishops' Charter for the Protection of Children and Young People.
