Deputy Clerk of Circuit Court
The purpose of the Deputy Clerk of Circuit Court position is to ensure the efficient administration of court operations by maintaining accurate records, facilitating case processing, and supporting judicial proceedings. This role serves as a vital link between the court, legal professionals, government agencies, and the public, ensuring compliance with legal procedures and court policies. The Deputy Clerk plays a key role in preserving the integrity of court records, managing financial transactions related to court fees and fines, and providing professional assistance to those navigating the court system.
Strong attention to detail, organizational skills, and the ability to work under pressure are essential to effectively uphold the responsibilities of the position. Interviews are anticipated to take place mid-August. The start date of this position is October 1, 2026.
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
- Maintain and process court records.
- Coordinate the flow of office documents, work, and information between the office, the court, outside agencies and the public.
- Process records or traffic, criminal, civil, small claims, family and paternity cases, including entering of case, docketing and monitoring case activity on state automated system.
- Assist with scheduling cases when needed.
- Responsible to serve as a courtroom clerk, which includes but is not limited to, taking minutes and swearing of witnesses, jurors, and bailiffs for court testimony.
- Draft orders, judgments, warrants, and other documents for judiciary signature.
- Receipt funds and daily balancing of books including preparing daily bank deposits and issuance of disbursements, and creating journal entries.
- Work with collection agencies in the recoupment of fines/forfeitures or other funds owed to our county through the court system.
- Screen telephone calls and refer to proper clerk, if unable to answer.
- Greet public in a polite and knowledgeable manner.
- Proof scanned documents.
- Assist with Knowledge of jury management.
- Assist in training and coordinating activities of a new employee.
- Cross train in all aspects of the Clerk of Circuit Court office.
- Assist Register in Probate and Juvenile Clerk if needed.
This job entails minimal physical demands, typically found in an office environment, with very limited exposure to workplace hazards. Some lifting, moving, bending, and twisting.
Usual office working conditions – comfortable work environment.
