Office Administrator/ Coordinator, Administrative Management

We are seeking a highly organized, proactive, and detail-oriented Office Manager to support our growing team. This role is critical in managing international employee logistics, office operations, and administrative functions to ensure smooth day-to-day business activities.
Key Responsibilities
International Jobs Responsibilities
· Ensure all eligible employees maintain current passports and coordinate timely renewals.
· Acquire and manage Travel Visas and Work Permits for international assignments.
· Coordinate all aspects of employee travel, including flights, lodging, ground transportation, and related logistics.
· Lead onboarding coordination for new employees, including:
oPreparing and processing required paperwork.
oOrdering background checks and drug tests.
oCoordinating DOT physicals, Respirator Medicals, and fit testing.
oTracking medical records and scheduling follow-up testing as needed.
oCoordinating training requirements.
oManaging TWIC appointments and passport applications.
· Administer employee information and benefit programs.
· Arrange lodging for work crews and air travel when applicable.
Office Administration
· Open, sort, and distribute incoming mail.
· Answer incoming phone calls and direct them to the appropriate team members.
· Greet visitors and ensure they are connected with the correct personnel.
· Manage and maintain the office phone system.
· Oversee office supplies inventory and ordering.
· Manage employee uniforms procurement and distribution.
· Maintain updated records for all PIC vehicles.
· Handle insurance renewals and related documentation.
· Provide general administrative support and assist office staff with day-to-day operations.

· Excellent communication and interpersonal abilities.
· Experience in office administration, travel coordination, and employee onboarding (preferred).
· Proficiency with standard office software and record-keeping systems.
· Ability to handle sensitive information with confidentiality.
· Comfort working in a fast-paced environment with shifting priorities.
This is a full-time, on-site position offering the opportunity to play a key role in supporting both domestic and international operations.
