Maintenance Coordinator
Job Summary:
The Maintenance Coordinator provides vital clerical and organizational support to the maintenance department. Responsibilities include scheduling maintenance appointments, managing work orders, maintaining records, processing invoices, responding to internal and external inquiries, and assisting with inventory management. The ideal candidate is detail-oriented, proficient with office software, and can multitask in a fast-paced environment. Strong communication skills and the ability to collaborate with technicians and vendors are essential.
Key Responsibilities:
- Coordinate and schedule maintenance activities
- Prepare and manage work orders and service requests
- Maintain accurate records of maintenance operations
- Process purchase orders, invoices, and related documentation
- Assist with inventory control and ordering of maintenance supplies
- Communicate with staff, vendors, and contractors
- Support the maintenance and facilities managers with administrative tasks
- Other duties as assigned
Qualifications:
- High school diploma or equivalent; additional administrative training preferred
- Experience in an administrative or clerical role, preferably in maintenance or facilities management
- Proficiency with Office 365, including advanced Excel skills, along with other software and maintenance management systems
- Excellent communication and organizational skills
- Ability to prioritize tasks and work independently
- Excellent math and inventory counting skills
- This position will split time between desk and production areas, approximately 50% sitting and 50% walking, bending, and lifting up to 25 lbs.
- All safety and PPE rules must be followed
- Hours are flexible between 7a-5p, M-F, 40 hours per week
