Overview

NOTE:

Compensation determinations will be made based on years of required relevant occupational experience and meeting educational requirements.

POSITION SUMMARY:

This position serves as the college's primary procurement and contract administration resource while providing high-level executive support to the Executive Vice President of Administration. The position exercises independent judgment, maintains strict confidentiality, and collaborates extensively with internal and external stakeholders to support institutional operations and strategic initiatives. Provide an exceptional customer service experience to both internal and external customers throughout every interaction.

Responsibilities

ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):

(40%) Purchasing Management

* Lead all college procurements, assisting with sourcing strategies, procurement standards, and vendor relationships that maximize value and reduce institutional risk.

* Serve as the college liaison to the Wisconsin Technical College Purchasing Consortium

* Provide functional leadership and guidance to budget managers regarding purchasing and procurement requirements.

* Administer and enforce all guidelines of the Wisconsin Technical College System, Wisconsin, and Uniform Commercial Code across the college.

* Create public bids, request for quotes, requests for information, and requests for proposals in conjunction with budget managers across the college.

* Consult with WTCS institutions, leverage UW institutions, and state agencies to identify cooperative procurement opportunities and cooperating purchasing agreements.

* Research, evaluate, and recommend eligible consortium contracts and procurement opportunities to college budget managers.

* Resolve procurement-related issues through proactive problem-solving and provide accurate information and guidance in a timely manner.

* Document and report financial savings realized through competitive procurement processes.

* Calculate, compile, and present the annual procurement report for the Board.

* Process college-wide purchase order requests, ensuring compliance with applicable policies, procedures, and regulations.

* Maintain the college's approved vendor database.

* Maintain procurement records in accordance with WTCS requirements and records retention standards.

* Train and support employees on purchasing processes, procedures, and procurement best practices

(35%) Executive Assistance & Administrative Support

* Provide confidential, executive-level administrative support to the Executive Vice President of Administration, requiring exceptional organization, sound judgment, and the ability to manage sensitive information.

* Serve as a key resource to the Executive Vice President of Administration and the Administrative Team, demonstrating initiative, reliability, and proactive communication.

* Coordinate administrative initiatives and support institutional priorities on behalf of the Executive Vice President of Administration.

* Assist in the development, monitoring, and analysis of Executive Vice President's budget.

* Independently manage and maintain Administrative policies and procedures.

* Prepare clear, concise reports, presentations, and executive communications.

* Maintain office systems, forms, and documentation with a focus on organization, efficiency, and quality control.
