Overview
Job Summary: As a Loan Processor with residential and HELOC emphasis, responsible for preparing complete loan documentation and system support work for new and renewed loans, including but not limited to data input, maintenance to various systems, monitoring accuracy of loan reports, preparation of loan documentation, filing and perfection of the Bank’s collateral. Must understand the Bank’s core loan system, loan documentation software, and supporting systems (e.g., tickler tracking software, flood certification website, Credit Bureau provider, WDFI UCC name/lien searches).
Respond to customer inquiries regarding loan balances, payoffs, payments, and loan requirements. Provide administrative support for lenders and ensure follow-up of incomplete loan file items. Balance general ledger, manage documentation flow, and complete required secondary market loan reports to investors. Perform other tasks as assigned by supervisor or senior management. Duties/responsibilities may be added, removed, or changed at management’s discretion.

- Loan Support Responsibilities
- Establish and process new loans and renewals on the Bank’s core system
- Complete data entries for loan advances, payments, inquiries and input changes (e.g., address, name)
- Prepare and send loan deferments and denials as assigned by lenders
- Update Credit Bureaus, identifications, and other status reports with respective agencies
- Respond to customer questions regarding loan payments, balances, and payoff amounts
- Work with secondary market loans to ensure documentation complies with delivery requirements
- Perform miscellaneous follow-up duties related to this area (e.g., letters, calls, data collection, system support)
- Loan Administration Responsibilities
- Prepare customer loan renewals when needed (validate terms, prepare renewal documents, validate payment history, update file information)
- Prepare loan documentation for lenders; review for accuracy and file completeness before closing
- Ensure appraisal, flood search, title work, proof of collateral insurance, DFI name matches, UCC lien search, OFAC, etc. are in order
- Set up loan files, forward documents for perfection of liens, set ticklers, and prepare files for incomplete status
- Assist in administrative duties, including correspondence, title company follow-up, tracking deferments, and answering customer questions
- Assist in imaging of loan files
- Monitor outstanding items using tickler tracking software (e.g., final title policies, releases, insurance)
- Follow up on missing loan file items and maintain file correspondence
- Support follow-up on incomplete loan file work for residential, HELOC, and retail loans
- Generate and complete daily remittance and monthly reporting for secondary market loan programs; ensure accuracy for Freddie Mac, Fannie Mae, FHLB, Rural Housing programs
- Coordinate with HMDA/Compliance Officer for quarterly tracking and annual HMDA submissions
- Provide general administrative support and maintain service quality
- Cross-sell bank products and services when appropriate
- Provide respectful customer service and maintain premium service standards
- Prepare routine correspondence and follow established policies and procedures
- Maintain ethical behavior and support CRA initiatives
- Undertake special projects as assigned
- Ability to read, analyze, and interpret business periodicals, journals, technical procedures, or government regulations
- Ability to prepare reports and daily task procedures; professional communication
- Ability to verbalize ideas clearly and respond to questions from peers, customers, staff, and the public
- Mathematical ability for basic calculations and data interpretation
- Ability to interpret instructions from written, oral, diagram, or schedule form
- Proficiency in 10-key calculator, typing, and computer software; working knowledge of LAN/WAN
