Job Summary
This role is an active member of the front desk team and welcomes patient families for their appointment, serving as a liaison between families and the clinical team.
Responsibilities- Provide exceptional patient experience by assisting patients, parents, providers, and other staff through standard front desk functions, including check‑in and check‑out services following access modules and the Patient Experience Promise.
- Utilize EPIC scheduling applications and work queues to facilitate appointment scheduling, wait list management, reschedule list, cancelled appointments, registration work queues, patient communication/texting platform, and In Basket Review.
- Support registration of patients and/or legal guardians with a MyChart account and access.
- Secure appropriate release of information authorization and maintain HIPAA compliance.
- Enter all registration information accurately and completely per Appointment Scheduling Module and Complete Registration Document, including obtaining demographics, proper consent, insurance cards/information, as applicable.
- Maintain proficiency with EPIC and other applications or competencies as required.
- Understand and adhere to Children’s Organizational Code of Ethics and ensure actions comply with applicable policies, regulations, and laws.
- Monitor WELL platform and respond in a timely and professional manner.
- Assist and support other primary care locations as requested by leaders and/or the Children’s Medical Group float policy.
- High School graduate or Certificate of General Educational Development (GED) or High School Equivalency Diploma (HSED).
- 1+ year related work experience.
- 1+ year work experience in a healthcare setting.
- Knowledge of medical terminology (quiz to be completed prior to hire), medical menu software, medical billing, patient scheduling, and business office procedures.
- Excellent interpersonal skills to assist patients, parents, physicians, and other staff.
- Strong concentration skills to serve a variety of people in a fast‑paced environment and handle incoming calls efficiently and accurately.
- Flexibility to prioritize efforts to meet the needs of patients, parents, physicians, and other staff.
