The Assistant General Manager ("AGM") is a pivotal position in the operation of Eagle Harbor Inn, as it interfaces with both guests & staff, to facilitate excellent experience by guests, while overseeing the staff to ensure this deliverable. The AGM answers to the General Manager, as a full time salaried position.
Primary Responsibilities Front of House- Directly manage the Front Desk Staff;
Hire, train, coach, review - Ensure consistent & ongoing training of FD Staff
- Ensure excellent service to deliver premier guest experience
- Daily review of guest departures, arrivals, & special requests for followup
- Maintain a clean/organized work environment for Front & Back Office
- Ensure Daily Deposits are balanced
- Manage The Residence bookings on AirBnB & Lodgical
- Monitor Rotation between Suites to ensure rentals are even
- A/R;
Verify all departed guests have a 0 balance - Ensure email & phone communications are hospitably handled each shift
- Provide support of FD by filling shifts & assist on phones in Back Office
- Respond to Group/Event requests promptly; ensure room blocks are dropped
- Troubleshoot reservation issues
- Facilitate creation & implementation of packages & Add-ons;
Inventory - Respond to reviews/comments left by guests in Revinate
- Create Monthly Owner Stay List
- Onsite expert in Software:
Lodgical, Ambiance & Revinate - Facilitate OTA deductions are done by end of each month
- Organize monthly lunch May – Oct
- Assist answering phones when in the Back Office
- Responsible for the Night Phone on the GM’s days off/week (as instructed by GM)
- Compile & complete weekly staff schedules, 3 weeks out
- Purchasing of suite replacement & maintenance items; price, store
- Update Replacement List as necessary
- Assist GM in physical management of property with phone calls to contractors
- Facilitate seasonal projects done by Front Desk Staff, i.e. Update In-Room Books
- Provide on site photos & story ideas to Marketing Coordinator
- Do room setups, shutdowns when Housekeeping is not scheduled; winter only
- Assist GM with capital project fulfillment
- Facilitate completion of Seasonal Task List as pertains to the Front Desk
- Conduct property orientation for employees at all levels to enhance professionalism, responsiveness, and guest service quality.
- Assist the GM in implementing operations strategies to ensure IDM Hospitality’s operational standards are consistently met throughout the hotel.
- Assist the annual business planning and budgeting process.
- Collaborate with IDM Hospitality in recruiting and onboarding associate positions as required.
- Perform all other duties as assigned.
- High school diploma or GED with 2 years’ experience in the guest services, front desk, or related professional area
- 2-year degree from an accredited university in Hotel and Restaurant Management, or related major; 1-year work experience required
