Summary Of PositionThe EHR System Administrator is responsible for the ongoing administration, configuration, and support of the Gavin Foundation’s Electronic Health Record (EHR) platforms. This role partners closely with clinical, compliance, and IT stakeholders to ensure the EHR supports real‑world workflows, regulatory requirements, and high‑quality care delivery. The position requires strong multitasking abilities, excellent interpersonal skills, and comfort working in a fast‑paced, evolving environment.
PrimaryResponsibilities
System Management & Configuration
- Collaborate on the configuration, maintenance, and enhancement of Gavin Foundation EHR platforms, including dashboards, forms, clinical documentation, treatment plans, client consents, and related system components.
- Monitor system performance and proactively identify, report, and coordinate resolution of system issues and errors.
- Configure and maintain templates, forms, and order sets to align approved workflows, clinical practices, and regulatory requirements.
- Collaborate with internal IT teams and EHR vendors to support system enhancements, upgrades, and new feature rollouts.
User Access & Security
- Manage the full user account lifecycle, including provisioning, modification, and deactivation of access during onboarding, role changes, and offboarding.
- Assign and manage role‑based permissions to ensure users have appropriate access to systems and data required for their responsibilities.
Compliance & Governance
- Support and ensure compliance with HIPAA, BSAS, 42 CFR Part 2, and other applicable healthcare regulations through system controls, monitoring, and adherence to organizational policies.
- Partner with compliance leadership and clinical stakeholders to ensure EHR configuration and usage align with regulatory and documentation requirements.
Technical Support & User Enablement
- Serve as the primary point of contact for EHR‑related technical issues, providing timely troubleshooting and support for clinical and administrative users.
- Coordinate with internal IT teams and external vendors to address complex technical issues, including hardware or network‑related impacts on EHR performance.
- Develop and maintain a knowledge base of common issues, solutions, and system tips to reduce repetitive support requests and empower users.
Training & Adoption
- Design and deliver role‑appropriate training for new staff onboarding and for the introduction of new system features, updates, or workflow changes.
- Develop and maintain user guides, FAQs, and reference materials to reinforce best practices and promote confident system usage.
- Provide ongoing, just‑in‑time support tailored to varying levels of technical proficiency.
Workflow Optimization
- Partner with clinical, administrative, and compliance stakeholders to document, review, and refine clinical and operational workflows supported by the EHR.
- Identify and implement opportunities for automation, streamlining, and efficiency improvements while preserving compliance and standards of care.
Data Integrity
- Conduct regular audits to ensure data accuracy, completeness, and standardization in accordance with internal standards and regulatory requirements.
- Implement and maintain system controls to reduce duplicate records, data entry errors, and unauthorized or inappropriate data changes.
- Monitor data quality metrics and collaborate with stakeholders to resolve discrepancies in a timely manner.
Reporting
- Work closely with the Director of IT to design, develop, and maintain standard and custom reports supporting clinical, operational, and compliance needs.
- Automate routine reporting processes where it is feasible to improve efficiency and reduce manual errors.
Collaboration
- Work actively with the Director of Compliance, clinical leadership, and other stakeholders to ensure EHR alignment with operational and regulatory needs.
