About the Role
We are looking for a highly organized, proactive, professional, tech-savvy Marketing & Operations Coordinator to support a fast-growing climate consulting and coaching company led by a nationally recognized expert in local climate action. This is a dual role as the CEO's Executive Assistant and the organization's Marketing and Sales Coordinator; as such the position works directly with the CEO.
This is a hybrid role combining:
- executive support
- marketing coordination
- operational organization
- AI-assisted content execution
- project coordination
The ideal candidate is detail-oriented, resourceful, adaptable, and comfortable supporting both strategic initiatives and day-to-day operational tasks. If you have experience creating systems and structure for a visionary leader - this role may be right for you.
This position is hybrid with approximately 2 days/week in-office near Woburn, MA with remaining time remote.
This role requires schedule flexibility to work in close coordination with the CEO, including availability outside standard hours when needed. As you develop systems and processes to support the CEO, greater autonomy becomes possible.
Key Responsibilities
Executive & Operations Support
- Assist CEO with meeting scheduling, travel coordination, inbox maintenance, sales calls follow-up, and organization of files and documentation
- Run occasional local errands including mail pickup, bank deposits, office coordination, and event preparation
- Help create and maintain operational systems, SOPs, and internal organization in collaboration with the Director of Operations
- Coordinate vendors, contractors, and project logistics
- Help ensure projects and initiatives stay organized and moving forward
- Coordinate and schedule Linked In content, newsletters, and email communications
- Use AI tools (Claude, ChatGPT, etc.) to assist with drafting, editing, summarizing, and repurposing content
- Review AI-generated content for quality, accuracy, and tone before publishing
- Track and report on basic marketing analytics and engagement metrics
- Assist with conference preparation, speaking engagements, and promotional materials
- Maintain marketing calendars and communication schedules
- Use AI tools to improve efficiency across sales, marketing, and operations
- Assist in documenting workflows and building repeatable systems
- Help identify opportunities to streamline repetitive tasks and communication processes
- The CEO is spending less time on administrative and coordination tasks
- Marketing communications are going out consistently and professionally
- AI tools are being leveraged effectively to improve speed and efficiency
- Projects, follow-ups, and operational details are organized and moving forward
- The business feels more streamlined, proactive, and supported operationally
- Full-time salaried, exempt position
- Compensation range: $65,000-$85,000 depending on experience

- 3-7+ years of professional experience in executive support, operations, project coordination, or similar roles
- 2+ years of professional experience with marketing coordination, content creation, sales outreach, or similar skills
- Exceptional organizational and communication skills
- Strong attention to detail and follow-through
- Comfortable learning and using AI tools such as Claude and ChatGPT
- Ability to manage multiple priorities in a fast-paced environment
- Experience upholding highly confidential material
- Strong judgment and problem-solving ability
- Highly proactive and self-directed
- Must be local to the Greater Boston area with reliable transportation
- Tech Savvy
- Experience supporting a founder, executive, or small business leadership team
- Experience in startups, consulting firms, agencies, or mission-driven organizations
- Familiarity with Linked In newsletters, email marketing, and basic analytics reporting
- Experience using project management or CRM tools - ideally and Hub Spot, or at least a demonstrated ability and willingness to learn how to use these kinds of tools.
