Product Group Administration Support
The Strategic Early Warning (SEW) organization within the Ground Based Sensors (GBS) organization is seeking a qualified candidate to fill the important role of Product Group Administration Support. In this role your primary responsibilities will be providing direct support to the Director, Program Managers, and supporting functions. You will provide as-needed support for over 150 program employees within the SEW product group, and interface with staff across other programs and directorates within the Air and Space Defense Systems (ASDS) Business.
The candidate must exhibit the utmost level of professionalism and use strong interpersonal skills to build relationships with the leadership team. You must maintain a high degree of confidentiality and will need to exhibit discretion when handling sensitive information.
This position is onsite in Woburn, Massachusetts. Relocation is not available.
What You Will Do:
- Program customer support including program escorts for in-person meetings.
- Compile and/or assist in preparation of various documents, to include but not limited to meeting minutes, presentations, reports, correspondence, and other materials.
- Manage calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes with attention to detail with numerous time zones.
- Coordinate travel arrangements and complete expense reports and other associated tasking in a timely manner.
- Assist in maintaining program document repositories.
- Support day-to-day SharePoint administration, including site maintenance, permissions management, and content organization.
- Arrange for conference rooms, catering, audio/video and other essential services for meetings and conferences.
- Program building and facilities support management; maintaining office inventory, anticipating needed supplies; verifying receipt of supplies.
- Submit visit requests via approved Raytheon tools.
- Build and maintain good business relationships with managers and administrative personnel.
Qualifications We Require:
- Typically requires an AA/AS degree (or other 2-year post-high school training) with a minimum of 6 years of relevant experience.
- Experience supporting large employee populations, groups, or leaders.
- Experience with meeting scheduling and coordination, event planning, travel arrangements and/or preparing reports.
- Ability to obtain and maintain an active U.S. government issued security clearance.
Qualifications We Prefer:
- Experience using Microsoft Office Suite Tools, to include but not limited to:
Outlook, One Note, PowerPoint, Word, Teams, and Excel. - Experience working independently as well as working in a team environment.
- Experience working with Raytheon tools, such as CAFM, Service Now, Concur, SAP/APEX, RTime, etc.
- Familiarity with Raytheon policies, procedures, forms, and processes.
