Job Description

The Professional Education Coordinator is responsible for supporting the day-to‑day operations of the Professional Education team, including speaker programs, program coordination, Statements of Work (SOWs), faculty logistics, event administration, attendee communications, reporting, and other coordinator‑level operational support. This role ensures that all training events—whether hands‑on bio‑skills labs, virtual webinars, or large‑scale symposia—are executed flawlessly, on time, and in strict compliance with medical device industry regulations (e.g., Adva Med Code, Sunshine Act).

NOTE: We are currently only considering local applicants who can adhere to our hybrid work schedule (currently 3 days/week in office and 2 days/week remote).

Key Responsibilities
  • Coordinate end-to‑end logistics for physician education programs, including speaker programs, advisory boards, and select hands‑on educational programs.
  • Build and manage program timelines to keep planning on track and ensure all approvals and required steps are completed.
  • Coordinate Speaker Statements of Work (SOWs), consulting agreements, amendments, and required documentation in partnership with Legal and Compliance.
  • Track contract status and follow up on outstanding approvals to ensure speakers are contracted in advance of scheduled programs.
  • Coordinate faculty logistics, including invitations, travel, accommodations, honoraria, and reimbursement documentation.
  • Build and manage event registration pages in Cvent, oversee attendee communications, and track registrations through program completion.
  • Coordinate attendee travel and hotel accommodations to support educational programs.
  • Assist with post‑program reporting, attendance tracking, attendee follow‑up communications, and processing attendee reimbursements.
  • Assist with speaker nominations, onboarding activities, and updating the active speaker roster as needed.
Qualifications
  • Bachelor's degree in Business, Marketing, Communications, Healthcare Administration, or a related field. Experience in Medical Devices, Pharma, or Healthcare field highly preferred but not required.
  • Work experience in lieu of a degree will be considered.
  • 1–3 years of experience in event coordination, project coordination, administrative support, customer service, or a related role.
  • Strong organizational and project coordination skills with the ability to manage multiple priorities in a fast‑paced environment.
  • Experience working with event management platforms (e.g., Cvent) is preferred.
  • Experience coordinating meetings, events, or travel arrangements is preferred.
  • Ability to work collaboratively with cross‑functional teams and external partners.
  • Strong problem‑solving skills and a proactive, customer‑service‑oriented mindset.
  • Compliance Knowledge:
Experience with Adva Med guidelines and Healthcare Professional (HCP) spend reporting is a significant plus.
  • Clinical Familiarity:
Basic understanding of the IR suite environment and oncological terminology is a significant plus.
  • Travel:
Ability to travel 5–10%, including weekends for events or meetings.
Compensation and Benefits

The target base salary range for this position is $50,000 to $68,000 annually. The individual compensation will be based on non‑discriminatory factors, including geographic location, skills, experience, and education. The role is eligible for Sirtex’s incentive programs (target bonus of 5%) and benefit plans, including paid sick and vacation time, health insurance, and a generous 401(k) matching program.
