The Assistant Project Manager supports the Project Manager and field teams in the coordination, documentation, and execution of plumbing and HVAC construction projects. This role helps manage project workflows, organizes communication and documentation, and ensures that critical tasks are completed accurately and on time. The APM is an essential contributor to project momentum, gaining hands on experience in scheduling, procurement, submittal management, and onsite coordination.
Key Responsibilities Project Coordination & Documentation- Assist with project setup and administrative organization, including drawings, specifications, logs, and digital platforms.
- Maintain project documents such as RFIs, submittals, meeting minutes, field reports, and updated drawing files.
- Support the PM during weekly meetings and prepare follow-up action items or updated logs.
- Track project progress, identify documentation needs, and ensure information is accurate and accessible.
- Prepare, submit, and track submittals, RFIs, material requests, and vendor information.
- Assist in obtaining quotes, confirming scope alignment, and coordinating with vendors for deliveries.
- Maintain procurement logs, long lead item trackers, and material release schedules.
- Coordinate with the PM and field teams to support manpower planning, site logistics, and installation sequencing.
- Assist with updating schedules and reviewing installation progress with the PM.
- Help process field generated information such as measurements, clarifications, and daily logs.
- Assist with assembling billing requisitions, SOV updates, and cost tracking documentation.
- Support the PM by preparing backup documentation for change orders, T&M tickets, and pricing packages.
- Track budget adjustments, COR logs, and financial documentation under PM direction.
- Help gather and organize testing reports, inspections, and quality related documentation.
- Support safety compliance efforts by preparing JHAs, obtaining required permits, and collecting safety records.
- Assist with closeout deliverables including O&M manuals, as builts, warranties, and turnover packages.
- Early career experience in construction or mechanical contracting preferred, but motivated entry level candidates will also be considered.
- Strong organizational skills with the ability to maintain accurate project documentation.
- Ability to communicate effectively with field teams, vendors, and project stakeholders.
- Familiarity with construction drawings, specifications, and project workflows is helpful.
- Proficiency with Microsoft 365 and the willingness to learn construction platforms such as Procore, ACC, and Bluebeam.
- Detail oriented, eager to learn, and capable of managing multiple tasks in a fast paced environment.
