This is an on‑site role located in Leominster, MA, for a Senior Home Care Scheduler. The Senior Home Care Scheduler will manage and coordinate caregiver schedules to ensure quality care for clients, taking into account caregiver availability, client needs, and other relevant factors. Responsibilities also include maintaining accurate records, communicating effectively with caregivers and clients, and assisting in resolving scheduling conflicts.
This role requires strong organizational skills, communication abilities, and a commitment to delivering excellent customer service.
Schedule & Coordinate Care: Using judgment and discretion, strategically match and schedule caregivers with clients based on competency, availability, and specific needs. Ensure real‑time entry of scheduling and care‑related information into the software system.
- Manage Operations & Metrics: Monitor daily telephony logs to facilitate accurate payroll and billing processing. Track case metrics (e.g., overtime, unfilled hours) and generate timely reports for management after making exhaustive efforts to staff open shifts.
- Client & Caregiver Communication: Act as the primary liaison for day‑to‑day schedule changes. Build strong, positive relationships with clients, families, prospective employees, and referral sources, addressing concerns promptly and generating goodwill for the agency.
- Administration & Compliance: Document all pertinent situations and interactions to ensure coordination and continuity of care. Strictly comply with and enforce Visiting Angels' policies, state regulations, and the absolute confidentiality of all client and employee information.
- General Office Leadership: Support the team by answering phones, greeting visitors, and generating correspondence. Work independently, manage interruptions gracefully, support positive change, and handle emergencies with a calm, professional, and problem‑solving approach.
- Prior experience in scheduling, staffing, or office administration (healthcare or home care experience is highly preferred).
- Exceptional communication and customer service skills, with the ability to listen effectively without imposing personal values or beliefs.
- Strong computer literacy, including proficiency in scheduling software and data entry.
- Excellent time management and organizational skills, with a proven ability to prioritize, delegate, and accurately complete tasks within deadlines.
- Self‑motivated and proactive, with strong decision‑making skills and the ability to work independently with minimal supervision.
