Overview
Greenbaum, Rowe, Smith & Davis, LLP, a well-established and dynamic law firm, is seeking a full-time, onsite Float Legal Secretary for our Iselin, New Jersey office. The ideal candidate has at least three (3) years of experience as a floater in a New Jersey law firm or comparable legal setting and possesses strong adaptability, organizational skills, and comprehensive knowledge of litigation practices and procedures.
This position requires the ability to provide seamless administrative support in a fast-paced environment, adapt quickly, and shift priorities and secretarial techniques from day to day and assignment to assignment. Proficiency in document production, court e-filings, scheduling, and client communication is essential. Knowledge of File Site/Work Site (iManage) is a plus.
Essential Functions- Perform administrative support duties, including answering telephones, scheduling meetings, coordinating calendars for deadlines and future events, and managing correspondence, documents, emails, pleadings, discovery, and related materials.
- Manage heavy dictation and high-volume workflows with accuracy and efficiency.
- Enter attorney time and assist with client intake.
- Create, organize, and maintain both hard-copy and electronic client files.
- Electronically file legal documents in New Jersey, New York, and federal courts.
- Review correspondence and proofread documents for grammar, punctuation, exhibits, and enclosures.
- Prepare and execute documents, correspondence, cover sheets, and reports, and distribute accordingly.
- Coordinate monthly billing, close files, and maintain tracking systems.
- Track attorney calendars, court appearances, deadlines, and client meetings.
- Serve as a professional liaison with clients, court personnel, opposing counsel, and outside professionals.
- Perform other administrative duties as assigned.
- High School Diploma or GED required.
- With at least three (3) years of experience as a legal secretary in a New Jersey law firm (float experience is highly preferred).
- Strong knowledge of the New Jersey Civil Court system and electronic filing procedures.
- Proficiency in Microsoft Office 365, iManage, and state and federal e-filing systems.
- Exceptional organizational, communication, and interpersonal skills.
- Excellent attention to detail with strong drafting and proofreading abilities.
- Ability to work independently as well as collaboratively within a team environment.
The base salary range for this position is $65,000 – $67,000 annually commensurate with experience and qualifications. Actual compensation will be determined based on the candidate’s experience, skills, job-related qualifications, and market considerations.
